ISS Facility Services is seeking a highly organised and detail‑driven Contract Administrator to support one of our major national clients across a diverse portfolio of industrial, manufacturing and corporate environments. This role is central to ensuring seamless operational delivery, strong compliance, and exceptional service outcomes.
You’ll be the coordination hub for documentation, reporting, safety processes, field activity tracking and stakeholder engagement—helping our teams deliver consistent, high‑quality facilities management services 24/7.
Safety & Compliance: Uphold HSEQ standards, support incident reporting, maintain safety registers, and contribute to a Zero Harm culture.
Client Liaison: Build strong relationships with client representatives, support coordination meetings, and ensure clear communication across all stakeholders.
Document Control: Manage templates, numbering, filing, storage and retrieval of digital and physical records. Maintain confidentiality and ensure documentation accuracy.
Operational Support: Track field work end‑to‑end, manage the ISS Help Desk during business hours, maintain client databases, and process access verification submissions.
Quality Management: Participate in QMS activities, support audits, contribute to continuous improvement, and help maintain ISS’s QA certification.
General Administration: Minute taking, internal reporting, vendor engagement, issue escalation, and supporting the Key Account Manager with contract growth initiatives.
Strong IT capability across MS Office, SharePoint, OneDrive and document management systems.
Exceptional attention to detail, organisation and multitasking ability.
Confident communication skills—written, verbal and interpersonal.
Ability to work under pressure, meet deadlines and manage competing priorities.
A solutions‑focused mindset with a passion for customer service.
Minimum 3 years’ experience in a similar operational or document‑control environment.
Experience with technical, design or auditing information is highly regarded.
