The Role
As a Seasonal HR Admin Assistant at Rhythm Japan, your primary mission is to support the Senior People Administration Manager during our peak winter season. You will play a vital role in managing the full employee lifecycle of over 500 seasonal staff.
This role is highly operational and focused on executing essential HR administration, with a strong emphasis on seamless onboarding/offboarding, accurate pre-payroll data checks, and critical compliance areas including workers' compensation (Rousai) processing and Workplace Health & Safety (WHS) administration.
Key Responsibilities and Duties
High-Volume Onboarding, Offboarding & Settlement
Support the mass onboarding and offboarding process for seasonal staff by managing contracts, collecting required tax/residency documents, and facilitating offboarding paperwork.
Provide essential language and administrative support for non-Japanese speaking staff, including Japanese banking setup and Town Hall registration (Juminhyo).
Provide general communication support and translation (English/Japanese) for non-Japanese speaking seasonal staff in areas such as personal banking, taxation, and emergency situations.
Assist with the drafting of seasonal employment contracts and collecting necessary visa/work permit verifications.
Pre-Payroll & Data Verification
Assist in gathering and auditing seasonal staff timesheets, payroll submissions, and social insurance data to support accurate payroll processing.
Act as the first point of contact for seasonal staff inquiries regarding basic HR policies, payroll timelines, and portal access.
Maintain and update employee digital records, ensuring all documentation is properly organized, confidential, and easily accessible in the HRIS.
Health & Safety, and Workers' Compensation (Rousai)
Prepare and coordinate documentation for workers' compensation claims (Rousai) in the event of workplace injuries, ensuring timely reporting to the relevant authorities under the manager's guidance.
Support Workplace Health & Safety (WHS) initiatives, including maintaining incident logs, tracking employee wellbeing data, and ensuring safety materials/guidelines are effectively communicated to seasonal staff.
Partner with operational teams to monitor people-related risk areas and ensure HR processes reflect safety-related obligations.
Team Collaboration
Foster effective communication and collaboration with the Hakuba People Partner, Furano People Partner, and Niseko team members responsible for payroll.
What You Need to Succeed
Language: Business-level Japanese and fluent/business-level English (Essential for interacting with local town halls, clinics, and international staff).
Skills & Experience: Prior experience in HR administration, general affairs, or high-volume customer-facing operations. Basic knowledge of Japanese labor processes (Rousai/Social insurance framework) is highly desirable.
Detail-Oriented & Tech Savvy: Exceptional attention to detail in handling data and sensitive information. Proficiency in MS Excel and adaptability to HR Information Systems (HRIS).
Mindset: Calm under pressure, solution-oriented, with high intercultural sensitivity to support a diverse, international workforce.

ポジション概要:
Rhythm Japanの冬季限定人事労務アシスタントとして、主に冬のピークシーズンにおける大量の季節雇用スタッフ(500名以上)の労務管理において、Senior People Administration Managerのサポートを担当していただきます。
このポジションは実務に特化しており、スムーズな入退社手続きや正確な給与計算データのチェックに加え、労働災害(労災)の手続きや労働安全衛生(Health & Safety)の管理事務といったコンプライアンス領域の重要な実務執行において、極めて重要な役割を果たします。
主な職務内容:
1. 大量の季節雇用スタッフの入退社手続き・生活立ち上げ支援
季節雇用スタッフの大量入社・退社手続きにおいて、契約書管理、税務・居住区書類の回収、退職手続きの事務サポートを行う。
日本語を話さない外国人スタッフに対し、日本の銀行口座開設や役場での住民登録(住民票手続き)などの生活立ち上げに関わる言語・事務サポートを行う。
外国人スタッフに対し、個人銀行、税金関係、および緊急事態における言語サポートや、日・英の翻訳サポートを行う。
季節雇用契約書のドラフト作成や、必要なビザ・就労資格の確認・収集を補助する。
2. 給与計算前のデータ管理・照合
正確な給与計算を行うため、季節雇用スタッフのタイムシート(勤怠データ)、給与提出データ、社会保険データの収集と監査(チェック)を補助する。
基本的な人事規定、給与スケジュール、社内ポータルへのアクセス等に関するスタッフからの問い合わせの一次窓口として対応する。
人事情報システム(HRIS)内のスタッフのデジタルレコードを維持・更新し、すべての書類が適切に整理され、機密が守られ、検索しやすい状態を保つ。
3. 労働安全衛生・労災手続き
現場で労働災害(怪我など)が発生した際、マネージャーの指示のもと、速やかに関係機関(労働基準監督署等)へ提出する労災申請書類の作成・準備を行う。
労働安全衛生(Health & Safety)活動のサポートとして、事故記録(インシデントログ)の管理、従業員の健康状態のトラッキング、安全ガイドラインのスタッフへの周知を支援する。
現場のオペレーションチームと連携し、人事関連のリスクエリアをモニタリングするとともに、労務コンプライアンスや安全義務が適切に人事書類に反映されているか確認を補助する。
4. チーム内連携
白馬の人事アシスタント、富良野の人事、およびニセコの給与担当メンバーと円滑なコミュニケーションをとり、連携を深める。
応募要件:
語学力: ビジネスレベルの日本語、および流暢〜ビジネスレベルの英語(役場や病院、外国人スタッフとのやり取りに不可欠)。
経験・スキル: 人事労務、総務、または大量の顧客対応業務の経験。日本の労務手続き(労災や社会保険の仕組み)に関する基礎知識があれば尚可。
正確性とITスキル: データや機密情報を扱うための極めて高い正確性。Excelの実務スキルおよび人事システムへの適応力。
マインドセット: プレッシャー下でも冷静かつ解決志向で動くことができ、多国籍なスタッフを支えるための高い異文化理解力があること。
