Position Summary
The Claims Administrator is responsible for the timely intake, documentation, investigation support, administration, and resolution of freight loss, damage, shortage, and liability claims. This role serves as the primary point of contact for claim submissions and ensures all documentation, communications, and claim files are maintained accurately and in accordance with company procedures, contractual obligations, and applicable regulations. The Claims Administrator works closely with Operations, Customer Service, Finance, Safety, carriers, customers, and insurance partners to facilitate efficient claim handling and customer satisfaction.
Key Responsibilities
Receive, review, and process customer claim submissions through designated claim management systems.
Establish and maintain complete claim files, including electronic records, supporting documents, correspondence, and investigation notes.
Acknowledge claim receipt and communicate documentation requirements to customers.
Verify claim documentation, including invoices, delivery receipts, photographs, bills of lading, and proof of loss.
Coordinate investigations with Operations, Customer Service, carriers, and other stakeholders to determine liability and claim validity.
Maintain accurate claim records and update claim statuses within claim management platforms.
Prepare claim settlements, payment requests, denial letters, and customer correspondence.
Track claim deadlines and ensure compliance with contractual and regulatory filing requirements.
Assist with recovery and subrogation efforts against responsible carriers, vendors, or third parties.
Monitor open claims and proactively follow up on outstanding information to ensure timely resolution.
Support claims reporting, data analysis, and management dashboards by maintaining accurate claim data.
Participate in regular claims review meetings and provide claim status updates.
Assist with process improvement initiatives focused on reducing claim cycle times and enhancing customer service.
Maintain confidentiality of sensitive customer, financial, and company information.
Perform other duties as assigned.
Qualifications
Education
Associate degree preferred; equivalent experience will be considered.
Bachelor's degree in Business, Logistics, Transportation, Risk Management, or related field preferred.
Experience
2+ years of administrative, claims, customer service, logistics, transportation, insurance, or related experience preferred.
Experience handling freight, cargo, transportation, or insurance claims is a plus.
Experience working with claim management systems, databases, or document management platforms preferred.
