The Office Coordinator provides comprehensive administrative and project support to architecture and engineering teams while managing daily office operations. Candidates must possess a high school diploma and at least three years of broad operational or administrative experience. Proficiency in Microsoft Office is required, with preference given to those with experience in the architecture and engineering industry.
Full job description
As a Project and Office Coordinator, you will provide comprehensive administrative and project support to our interdisciplinary architecture and engineering teams. You’ll help foster a positive, engaging office environment by supporting your colleagues and client projects, welcoming visitors, and keeping daily office operations running smoothly in our Detroit office location.
Deliver Results
Coordinate day-to-day project information flow, team calendars, meeting agendas, and minutes.
Manage client contact information, project files, and records in Deltek Vantagepoint.
Prepare contracts, project specifications, and proposal materials using AIA and BSD SpecLink software.
Track submittals, requests for information, and certificates of insurance throughout each project.
Support HR led initiatives, including greeting candidates and supporting new hire onboarding.
Oversee Detroit office operations, including supplies, vendor coordination, and overhead expense reconciliation.
Serve as the point person for safety training, emergency planning, and front-office hospitality and guest reception.
Required Qualifications
High school diploma required.
3+ years of broad operational or administrative experience in a directly applicable role.
Proficient in Microsoft Office, including Word, Excel, and Outlook.
Preferred Qualifications
Associate’s or bachelor’s degree.
Experience in the Architecture and Engineering industry.
Experience in a multi-office firm environment.
Proficiency with Deltek Vantagepoint, Microsoft SharePoint and Teams; familiarity with Access or BSD software preferred.
