Der Empfangsspezialist ist für einen professionellen, serviceorientierten und reibungslosen Ablauf im Empfangsbereich verantwortlich. Die Position stellt einen freundlichen und verbindlichen ersten Kontakt für Besucher, Mandanten, Geschäftspartner und Mitarbeitende sicher und unterstützt die tägliche Organisation des Empfangs, der Besprechungsräume sowie ausgewählter administrativer Abläufe.

Anforderungsprofil

  • Abgeschlossene Schulausbildung oder eine vergleichbare Qualifikation.
  • Erste oder einschlägige Berufserfahrung im Empfang, in der Kundenbetreuung, im Gastservice, in der Büroorganisation oder in einer vergleichbaren dienstleistungsorientierten Tätigkeit ist wünschenswert.
  • Sehr gute Deutsch- und Englischkenntnisse in Wort und Schrift sind erforderlich. Mindestens B2 Level; empfehlenswert C2/C1 Level
  • Ausgeprägte Dienstleistungsorientierung sowie ein verbindliches und gepflegtes Auftreten.
  • Sicheres Kommunikationsvermögen im Umgang mit internen und externen Ansprechpartnern.
  • Gute organisatorische Fähigkeiten sowie eine sorgfältige und zuverlässige Arbeitsweise.

Aufgaben und Verantwortlichkeiten

Empfang und Besucherbetreuung

  • Freundlicher und professioneller Empfang von Besuchern, Mandanten, Geschäftspartnern und Mitarbeitenden.
  • Entgegennahme und Bearbeitung eingehender Anrufe, Nachrichten und allgemeiner Anfragen.
  • Unterstützung bei Besucheranmeldung, Zutrittsregelungen, Ausweisausgabe und Parkkoordination gemäß den standortbezogenen Vorgaben.
  • Sicherstellung einer verlässlichen Besetzung des Empfangsbereichs während der zugewiesenen Einsatzzeiten.
  • Weiterleitung von Anliegen an die jeweils zuständigen internen Ansprechpartner.

Besprechungsraum- und Bewirtungsunterstützung

  • Unterstützung bei der Reservierung und Koordination von Besprechungsräumen.
  • Vorbereitung und Kontrolle der Besprechungsräume im Hinblick auf Ordnung, Sauberkeit und Einsatzbereitschaft.
  • Unterstützung bei der Bereitstellung von Getränken, Bewirtung und Besprechungsvorbereitungen nach Bedarf.
  • Mitwirkung bei der Sicherstellung eines repräsentativen Erscheinungsbildes von Besprechungsräumen, Teeküchen und Gemeinschaftsflächen.
  • Abstimmung mit internen Fachbereichen und externen Dienstleistern zur Unterstützung eines reibungslosen Ablaufs.

Position Summary

The Reception Specialist is responsible for delivering a professional and welcoming front-of-house experience for clients, visitors, and employees. The role supports the daily reception operation, visitor handling, meeting room coordination, and general workplace support to ensure a smooth and efficient office environment.

Job Qualifications

  • High school diploma or equivalent required

Key Responsibilities

Reception & Visitor Services

  • Welcome visitors, clients, and employees in a professional and courteous manner
  • Serve as a point of contact for front desk and general reception inquiries
  • Handle incoming calls, emails, and visitor requests efficiently and professionally
  • Support visitor check-in, access procedures, badge handling, and parking coordination in line with local site processes

Meeting Room & Hospitality Support

  • Support conference room bookings and meeting room scheduling

Office & Administrative Support

  • Provide day-to-day administrative and operational support related to reception activities
  • Assist with visitor lists, meeting coordination, and routine workplace tasks
  • Monitor daily schedules and support workload coordination within the reception area
