Under the direction of the Clinic Manager, you will be responsible for performing a variety of administrative and clerical tasks.
What you’ll do
Greeting patients and managing patient intake. Answering and routing incoming calls
Scheduling appointments for patients
Provide daily administrative support to the medical office and clinical team (physicians, nursing, chart prep, CSRs, transcription, reception and flow) to ensure efficient operation and flow of work
Work in collaboration with medical office team to ensure proper process and procedures are in place to manage administrative aspects of special client accounts
Maintain a high level of current product and service knowledge
Maintain and modify confidential medical electronic/paper filing/retrieval and transfer methods, systems, formats and information
Respond promptly to questions and concerns from clients, employees and Physicians
Maintain confidentiality and follows departmental guidelines
Able to identify and document process shortfalls that present themselves and communicate issues to management
Recommend possible solutions to minimize and remove barriers to the administrative workflow and office processes for review, approval and further direction
Manage monthly inventory, supply check of office supplies and maintain office supply room
Manage the flow of guests in the clinic in coordination with the Flow Coordinator and other team members including Physicians
Participate in special projects and quality assurance initiatives
Performing other related clerical activities and cross-functional responsibilities as assigned

Qualifications
What you bring:
High school diploma with a minimum of 1-3 years of relevant experience working in a fast-paced environment, providing a high degree of customer service
1-3 years of Medical Office Administration experience
Excellent communication skills, both verbal and written
Attention to detail and great work ethic
Very good computer skills and proficiency in Microsoft Office suite
Strong organizational skills; multitasking and time-management skills, with the ability to prioritize tasks
Work autonomously and demonstrate initiative and good judgement
Ability to be resourceful and proactive when issues arise
Passion for working within a collaborative team and providing amazing guest experiences
Must be upbeat, outgoing and positive
Ability to work effectively within a team
Problem-solving and apply guest resolution tactics
Customer service experience (preferred)
Reception experience (preferred)
Health Studies (preferred)
Experience with medical transcription (preferred)
