Your opportunity
We are looking for a Facilities Assistant to support the day-to-day operations of our Budapest office and help ensure a safe, efficient, and well-maintained workplace. In this role, you will assist the local Facilities Manager in delivering high-quality building services, coordinating with vendors and contractors, upholding health and safety compliance, managing space and office moves, enhancing the workplace experience for employees, driving sustainability initiatives, and handling various administrative tasks. You will serve as a key point of contact for facilities issues on-site, helping to ensure that facility operations run smoothly and that employees have a productive, comfortable environment. The ideal candidate is organized, proactive, and service-oriented, with a keen eye for detail and the ability to juggle multiple tasks in a dynamic corporate setting. This position offers an opportunity to grow your career in facilities management within a leading global finance company while making a tangible impact on our Budapest office’s day-to-day operations.
Facilities Operations Support: Assist with daily building operations and maintenance activities for the Budapest office. Conduct regular checks of facilities (e.g. office space, meeting rooms, equipment) and coordinate any needed repairs or maintenance requests with the appropriate service providers. Help ensure critical building systems (e.g. HVAC, electrical, plumbing) are functioning properly by promptly reporting issues and following up on resolutions.
Vendor & Contractor Coordination: Work closely with external vendors and service partners (such as cleaning, security, catering, and maintenance contractors) to support consistent service delivery. Assist the Facilities Manager in monitoring service level agreements (SLAs) and key performance indicators (KPIs) for these contracts[1], and help gather feedback or data to ensure vendors meet the company’s standards. Coordinate contractor visits and ensure they adhere to building access procedures and company policies while on-site.
Health & Safety Compliance: Support the implementation of the company’s health, safety, and environmental policies in the Budapest office. Conduct basic H&S inspections (e.g. checking fire extinguishers, first aid supplies, clear evacuation routes) and assist with organising regular fire drills or other emergency exercises. Ensure that any facilities work is carried out in compliance with safety regulations and help maintain up-to-date H&S records. Assist in promoting a safe workplace culture by reporting hazards, disseminating safety information, and serving as a fire warden or first aider (if certified).
Space Planning & Moves: Assist with office space management including seating plans and desk allocations. Help coordinate internal office moves, furniture reconfigurations, or new hire set-ups. This involves liaising with IT for equipment setup and ensuring minimal disruption to employees during moves. Keep floor plans and seating charts updated and support the Facilities Manager in planning for future space needs or small office renovation projects.
Workplace Experience & Services: Contribute to a positive workplace experience by helping to maintain clean, comfortable, and well-stocked office areas. Oversee that meeting rooms, pantry/kitchen, and common areas are kept in good order (working with cleaning staff as needed) and that office supplies (stationery, refreshments, etc.) are replenished. Promptly address or escalate employees’ facilities-related requests and issues – for example, requests logged through the facilities helpdesk – to ensure timely resolution and excellent customer service. Step in to assist reception or security teams during busy periods or absences, ensuring visitors and staff continue to receive proper support.
Sustainability Initiatives: Support the Facilities Manager in implementing sustainability and environmental initiatives within the office. This may include monitoring energy usage and turning off lights/equipment after hours, helping to run recycling and waste reduction programmes, and promoting any corporate sustainability campaigns at the site. Assist in tracking relevant data (e.g. recycling rates, energy consumption) and suggest ideas for making the office’s operations more eco-friendly, aligning with the company’s environmental goals.
Administrative & Financial Tasks: Perform various administrative duties to support the facilities function. Maintain organised records of maintenance activities, service reports, equipment inventories, and vendor contacts. Help manage the facilities budget by tracking purchase orders and invoices for facilities expenses, coding expenses, and updating budget spreadsheets under the guidance of the Facilities Manager. Prepare basic reports or summaries of facilities metrics (e.g. monthly occupancy updates or maintenance logs) as requested. Also, assist in tendering processes by gathering quotes from suppliers or contributing to vendor evaluations for cost-effective service delivery.
Emergency Preparedness & Security Support: In coordination with the Facilities Manager, help prepare for and respond to facilities-related emergencies. This includes assisting with emergency drills, maintaining emergency contact lists, and understanding evacuation procedures. In the event of an incident (power outage, fire alarm, etc.), help guide employees to safety and coordinate with building management or emergency services as needed. Act as a secondary point of contact for out-of-hours facilities issues if the Facilities Manager is unavailable, ensuring critical problems are communicated and addressed promptly. Also support general office security procedures by liaising with security personnel and ensuring compliance with access badge protocols and visitor management policies.
Other Duties as Assigned: Carry out additional tasks related to facilities and office management as required to support the smooth running of the office. This may include helping with office events setup, updating the facilities section on the intranet, or assisting other departments with facilities-related needs. Maintain a flexible, “can-do” attitude in tackling various requests and challenges that arise in managing a busy office environment.

Work Experience: Approximately 2+ years of experience in a facilities support, office administration, or building management role, preferably in a corporate or financial services environment. Experience in supporting facility operations for a similar-sized office. Exposure to working with building service contractors or in a customer-service-oriented role will be beneficial.
Facilities & Technical Knowledge: Basic understanding of building facilities systems and operations (such as cleaning standards, HVAC, electrical, and other building services). Ability to identify common facilities issues and follow the correct escalation or resolution process. Knowledge of health & safety regulations and general workplace compliance standards in an office setting.
Technology & Software: Computer literate, with proficiency in MS Office (Excel, Word, Outlook, PowerPoint). Comfortable with basic data entry and running reports, as well as using digital tools for tracking maintenance or space allocations.
Communication Skills: Excellent communication skills in both Hungarian and English. Able to interact professionally with employees at all levels and with external vendors. Strong customer service orientation with a polite and proactive approach to helping others. Capable of clearly reporting issues and progress to the Facilities Manager and documenting incidents or actions taken.
Organisational Skills: Highly organised and detail-oriented, with the ability to multitask and prioritise effectively in a fast-paced environment. Proven ability to follow through on tasks independently, manage one’s own time, and support multiple ongoing activities (maintenance schedules, vendor visits, office requests, etc.) without letting details slip.
Teamwork & Reliability: A dependable team player who can work closely with the Facilities Manager and also collaborate with reception, security, IT, and other departments as needed.
Problem-Solving: Good problem-solving skills and a calm demeanour when facing challenges. Able to remain calm under pressure and respond effectively to emergencies or unexpected situations.

Industry Experience: Prior experience in facility management within the financial sector or other large corporate environment is a plus, as it provides familiarity with the expectations and compliance requirements of a regulated industry and high-standard office setting.
Professional Certifications: Any facilities management certifications or coursework are advantageous. For example, credentials from professional bodies like the Institute of Workplace & Facilities Management (IWFM Level 3 qualification) or IFMA’s Facility Management Professional (FMP) certification demonstrate a commitment to the profession.
Health & Safety Certifications: Additional certification in occupational health & safety (such as an IOSH or NEBOSH certificate) is beneficial[2], as it indicates knowledge that can help strengthen the office’s compliance and safety culture.
Technical Skills: Familiarity with CAD drawings or space planning tools, or experience assisting in office renovation projects, can be a plus.
