Aptive Resources is seeking a Junior Program Analyst to provide administrative and coordination support for a time-sensitive research service infrastructure rebuild for the Department of Veterans Affairs (VA) Office of Research and Development (ORD), Salem VA Medical Center (VAMC) Research Service, under the Field Enterprise Research Support Services (FERSS) contract.
The Salem VAMC Research Service is undertaking a comprehensive foundation rebuild to address prolonged leadership gaps, outdated workflows, and fragmented processes. This role will provide scheduling, meeting minutes, and task-tracking support to the TIGER team, along with broader administrative support to the Research Service, to help ensure timely progress and alignment with organizational priorities.
The successful candidate will be organized, detail-oriented, and comfortable coordinating across multiple stakeholders in a fast-paced, time-sensitive environment.
This is a full-time (40 hours/week) position. This role can be remote; however, the client has a preference for candidates based in the Roanoke, VA or Salem, VA area to work onsite, and a hybrid arrangement may also be considered.
Primary Responsibilities
Schedule and coordinate TIGER team meetings, including managing calendars and logistics across multiple stakeholders.
Prepare and distribute meeting agendas, minutes, and follow-up communications.
Track action items, deliverables, and deadlines associated with TIGER team activities, and provide regular status updates.
Support administrative aspects of Research Service rebuild activities, including document organization and filing.
Assist with data entry, tracking, and reporting to support program metrics and risk management.
Support event and meeting planning activities, including logistics and materials preparation.
Provide general administrative support to the broader Research Service stabilization effort as needed.
Minimum Qualifications
Bachelor's degree in business administration, public administration, health administration, or a related field.
3+ years of experience providing program or administrative support, project coordination, or scheduling/meeting support in a complex organization.
Strong organizational skills and attention to detail.
Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook/Teams.
Ability to manage multiple priorities and deadlines in a fast-paced environment.
Ability to obtain and maintain a public trust clearance.
Legal authorization to work in the United States.
Desired Qualifications
Experience supporting VA, VHA, or federal healthcare research environments.
Experience supporting committees or working groups (scheduling, minutes, tracking).
Familiarity with SharePoint or similar document/knowledge management platforms.
