Catalogue and Merchandising Coordinator - Grey Lynn

The Catalogue & Merchandising Coordinator plays a pivotal role in keeping Chemist Warehouse NZ’s promotional, operational, and compliance activity running smoothly across all stores.

Reporting directly to the Catalogue, Merchandising & Space Planning Manager, this position centres on promotion coordination, process improvement, and compliance management  to ensure every store receives accurate information, clear guidance, and timely updates.

You’ll be responsible for collating and loading all promotions, maintaining and refining store “how‑to” guides, and managing compliance schedules that support consistent execution nationwide. Success in this role requires working quickly within tight timeframes, building strong and reliable relationships, and confidently liaising with people from diverse multicultural backgrounds.

This is an onsite position. Located at our support office in Grey Lynn. 

Role Responsibilities

• Promotion & Catalogue Loading - Load monthly catalogues, House of Wellness, major sales and promotional activity across all banners.
• Black & White Management - Request, collate and update Black & White information and buyer splits, ensuring timely communication to stores.
• Compliance & Calendar Coordination - Gather compliance calendar details from buyers and maintain accurate promotions and compliance schedules.
• Catalogue Accuracy Control - Record, correct and communicate catalogue errors and updates to stores.
• Store Communication File Creation - Create MRM and MyWeb sign files for IVE and generate catalogue order files for stores.
• MyComms & MyWeb Administration - Upload all required documents, tasks and updates, ensuring both platforms remain current and accessible.
• Guide Development & Maintenance - Develop, update and streamline Prepare & Execute guides and operational how‑to guides for stores.

The Ideal Candidate

• Someone who can manage large volumes of promotional, compliance and catalogue data with precision and consistency.
• Thrives under tight deadlines, works quickly without compromising accuracy, and stays composed during peak promotional periods.
• Able to communicate clearly with stores, buyers and internal teams, ensuring information is understood and actioned.
• Builds reliable, positive relationships across the business, supporting Chemist Warehouse NZ’s reputation for strong store engagement.
• Comfortable updating guides, refining workflows and improving how stores receive and action information.
• Confident using internal systems (MyComms, MyWeb, MRM) and managing multiple files, tasks and updates simultaneously.
• Works respectfully and effectively with people from diverse multicultural backgrounds. 

Qualifications and Experience

• A qualification in Business, Retail Operations, Marketing, Administration or a related discipline is preferred but not essential.
• Experience in a retail support office, FMCG environment, or high‑volume promotional/administration role is highly advantageous.
• Confidence using internal systems such as MyComms, MyWeb, MRM or similar workflow/communication platforms.
• Demonstrated ability to manage, load and check large volumes of data, promotional content, or compliance information with precision.
• Experience creating or maintaining guides, SOPs, or store‑facing documentation.
• Comfortable working with buyers, store teams and cross‑functional departments, ideally in a fast‑paced environment.
• Proven ability to work within strict deadlines, manage competing priorities and deliver accurate outputs quickly.
