What You Will Do:

Responsibilities

• Bảo trì cơ sở vật chất & Môi trường
  • Quản lý các dịch vụ văn phòng thiết yếu, bao gồm điện, nước, internet và các tiện ích khác.
  • Duy trì khu vực cảnh quan và cây xanh để đảm bảo môi trường làm việc chuyên nghiệp và thoải mái.
  • Giám sát khu vực đỗ xe trong nhà và ngoài trời, đảm bảo sắp xếp hợp lý và tuân thủ các quy định về an toàn và môi trường.
  • Theo dõi và đảm bảo tiêu chuẩn vệ sinh và môi trường tại nơi làm việc.
  • Phối hợp với nhà cung cấp về kiểm soát côn trùng, dịch vụ thu gom rác và xử lý chất thải
• Dịch vụ Tòa nhà
  • Làm việc với nhà cung cấp và nhà thầu để thực hiện các công việc bảo trì và sửa chữa đơn giản, đảm bảo thực hiện đúng theo các thỏa thuận hợp đồng.
  • Tổ chức và giám sát các hoạt động bảo trì và vệ sinh quy mô lớn, bao gồm nhưng không giới hạn: vệ sinh kính cửa sổ bên trong và bên ngoài tòa nhà; giặt thảm; vệ sinh bọc ghế và đồ nội thất.
  • Quản lý tồn kho dụng cụ bảo trì và vật tư dự phòng.
  • Hỗ trợ các dịch vụ liên quan đến tòa nhà và đảm bảo các cơ sở vật chất vận hành trơn tru.
• Hợp tác và phối hợp
  • Liên hệ với các cơ quan chức năng và tổ chức bên ngoài trong phạm vi trách nhiệm công việc.
  • Phối hợp với đội ngũ tập đoàn để đảm bảo tuân thủ các tiêu chuẩn, chính sách và yêu cầu báo cáo.
  • Hỗ trợ triển khai các sáng kiến của tập đoàn ở cấp địa phương.
  • Hỗ trợ các phòng ban khác về công tác hậu cần hoặc dịch vụ liên quan cơ sở vật chất.
• Quản trị và Tuân thủ
  • Thực hiện và theo dõi tất cả các hoạt động bảo trì cơ sở vật chất để đảm bảo tuân thủ khung quản trị của công ty, chính sách nội bộ và các yêu cầu pháp lý.
  • Lưu trữ và cung cấp tài liệu chính xác phục vụ việc kiểm toán và báo cáo.
  • Hỗ trợ rà soát tuân thủ nội bộ và bên ngoài, thực hiện hành động khắc phục khi cần thiết.
• Hỗ trợ đội nhóm
  • Tham gia các dự án di dời và cải tạo văn phòng
  • Hỗ trợ các thành viên trong nhóm về dịch vụ hành chính hoặc phối hợp khi cần thiết
  • Tham gia đánh giá và đưa ra khuyến nghị cải tiến nhằm tối ưu hóa quy trình và chi phí vận hành.

• Facility Maintenance & Environment
  • Manage essential office services, including electricity, water, internet, and other utilities.
  • Maintain landscaping and gardening areas to ensure a pleasant and professional environment.
  • Oversee indoor and outdoor parking facilities, ensuring proper organization and compliance with the safety & environmental regulations
  • Monitor and maintain workplace cleanliness and environmental standards.
  • Coordinate with vendors regarding pest control, garbage collection and waste disposal services.
• Building Services
  • Liaise with vendors and contractors for minor maintenance and repair work to ensure that the services comply with contractual agreements.
  • Organize and supervise large-scale cleaning and maintenance activities, including but not limited to: Interior and exterior window glass cleaning; Carpet washing; Upholstery cleaning for furniture
  • Manage inventory of maintenance tools and spare materials
  • Support building-related services and ensure smooth operation of facility systems.
• Collaboration & Coordination
  • Liaise with external authorities and organizations within the scope of work.
  • Collaborate with the global team to ensure alignment with corporate standards, policies, and reporting requirements.
  • Support implementation of global initiatives at the local level.
  • Support other departments in facilities logistics or services.
• Governance & Compliance
  • Implement and follow up all facility maintenance activities comply with company governance frameworks, internal policies, and legal requirements.
  • Maintain and provide accurate documentation for audits and reporting.
  • Support internal and external compliance review and implement corrective actions when required.
• Team Support
  • Participate in the office relocation and renovation projects
  • Assist team members with admin services or coordination as needed.
  • Participate in evaluation & providing improvement recommendations to streamline the process and optimize the operational cost.
• Other reasonable duties as assigned.

Qualifications

• Tốt nghiệp Đại học / Cao đẳng.
• Tối thiểu 3 năm kinh nghiệm trong lĩnh vực liên quan.
• Có kiến thức về hệ thống cơ khí, điện và ống nước (MEP) là một lợi thế.
• Trình độ tiếng Anh (CEFR) B1 hoặc tương đương.
• Có kinh nghiệm với các phần mềm quản lý văn phòng như MS Office (cụ thể là MS Excel và MS Word).
• Hiểu biết cơ bản về tiêu chuẩn cơ sở vật chất và quy định an toàn.
• Kỹ năng giao tiếp và hợp tác tốt.
• Tinh thần chính trực và trách nhiệm cao.
• Hiểu biết sâu sắc về dịch vụ khách hàng bao gồm việc thực hiện các quy định về mức độ hài lòng của nhân viên.

• University / College degree
• 3+ Years Experience in relevant field.
• Having knowledge of Mechanical, Electrical, and Plumbing (MEP) is preferred.
• English level (CEFR) B1 or equivalent.
• Experience with office management software like MS Office (MS Excel and MS Word, specifically).
• Basic understanding of facilities standard, regulations, safety.
• Good communication & collaboration skills.
• High sense of integrity, responsibility.
• Demonstrated customer service insights including the implementation of employee satisfaction charters.

Physical Demands
This role is performed in an office environment where a computer, telephone and other office equipment are used as needed to perform the duties of the role.
