ROLE OVERVIEW
We are looking for a detail-oriented and dependable Executive Assistant to provide day-to-day administrative and office support at WealthPlus. This is a fully in-office role based in New York City (5 days per week). The position is focused on keeping our office running smoothly, ensuring the CEO's schedule and administrative needs are well-organized, and working closely with the CEO's Chief of Staff on a day-to-day basis. The ideal candidate is reliable, takes initiative on routine tasks, and takes pride in creating an organized office environment.
Key Responsibilities
Scheduling & Calendar Management
- Schedule and confirm internal and external meetings on behalf of the CEO
- Coordinate travel arrangements including flights, hotels, and ground transportation
- Screen and sort incoming communications and route to the appropriate party
Office Management
- Maintain and restock the office kitchen, supplies, and common areas on a regular basis
- Greet and direct visitors, candidates, and guests upon arrival to the office
- Manage incoming and outgoing mail, packages, and deliveries
- Place and track orders for office supplies, snacks, and miscellaneous office needs
- Coordinate with building management and vendors on routine office maintenance and service requests
General Administrative Support
- Manage reimbursements, expense reporting, and receipt organization for the organization
- Maintain organized digital and physical filing systems
- Assist with ad hoc projects for the CEO as needed
- Work closely with the CEO's Chief of Staff on day-to-day coordination
- Provide general administrative support to the broader team as needed
Skills, Knowledge and Expertise
Required
- 2–4 years of experience in an administrative, executive assistant, or office coordinator role
- Strong organizational skills with a high attention to detail and follow-through on routine tasks
- Clear and professional written communication skills; comfortable drafting emails and correspondence
- Proficiency in Microsoft 365 (Outlook, Word, Teams) and general comfort with office technology
- Friendly, professional demeanor and comfort serving as a first point of contact for office visitors
- Ability to manage multiple day-to-day tasks and stay organized in a busy office environment
- Experience working with finance or accounting functions, such as expense tracking, receipt reconciliation, and coordination with a Controller or finance team
Preferred
- Experience in a startup or small office environment
- Prior experience managing office supply ordering or vendor coordination
