At the Davis Phinney Foundation, we help people with Parkinson’s live well today. Since 2004, the Foundation has brought to life some of the most important programs and research for those affected by Parkinson’s. Our community includes people living with Parkinson’s, Parkinson’s care partners, families, and friends in addition to physicians and allied health professionals.

POSITION OVERVIEW & PURPOSE

The Program Associate supports the day-to-day operations of the Davis Phinney Foundation's Pedaling for Parkinson's™ (PFP) program, a community-based cycling program offered at YMCAs, recreation centers, and community organizations across North America.

Working closely with the Senior Program Manager, this position helps ensure that instructors, partner facilities, and participants receive outstanding support through strong communication, careful coordination, accurate data management, and dependable administrative execution.

The ideal candidate is highly organized, enjoys working with people, communicates professionally, and takes pride in keeping projects moving, details organized, and community members well supported.



ESSENTIAL DUTIES & RESPONSIBILITIES

Program Administration

  • Monitor and manage the Pedaling for Parkinson's program inbox, responding to routine questions and directing inquiries as appropriate.
  • Provide day-to-day administrative support for the Pedaling for Parkinson's program.
  • Maintain program documents, records, and shared resources.
  • Track action items and assist with follow-up to ensure projects remain on schedule.
  • Fulfill requests for Pedaling for Parkinson's program materials, including coordinating shipments to instructors and partner facilities.

Community & Partner Support

  • Serve as a primary point of contact for instructors, partner facilities, and community members.
  • Nurture positive relationships through timely, professional communication.
  • Draft thank-you letters, partner communications, and other routine correspondence.
  • Support onboarding and ongoing communication with instructors and partner organizations.

Data & Systems Management

  • Maintain accurate participant, instructor, partner, and facility records across Pedaling for Parkinson's databases, tracking systems, and other program platforms.
  • Support surveys, program evaluation activities, and the collection and organization of participant and instructor feedback to help inform program improvements.

Instructor Hub Support

  • Support the Pedaling for Parkinson's Instructor Hub by responding to questions, welcoming new members, posting announcements, organizing resources, and directing inquiries as needed.
  • Help maintain an engaging online community by supporting instructor meetings, facilitating resource sharing, and assisting with ongoing Hub activities.

Partner Outreach & Intake

  • Respond to inquiries from prospective instructors, facilities, and community organizations, providing information and directing next steps as appropriate.
  • Research prospective partner organizations and maintain accurate outreach records and tracking information.
  • Prepare introductory emails, follow-up communications, and other materials to support outreach and partnership development.

Registration & Participant Support

  • Assist with participant registration for online programming.
  • Respond to participant questions and provide timely support related to registration, class access, scheduling, and program participation.
  • Prepare and send participant communications, including class access information, schedule updates, reminders, and other program announcements.

Team Participation

  • Participate in department meetings and planning discussions.
  • Support continuous improvement by sharing observations and ideas that enhance program operations and participant experience.
  • Perform other duties as assigned.



KNOWLEDGE, SKILLS & ABILITIES

  • Excellent written and verbal communication skills.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple priorities.
  • Comfortable learning new technology platforms and databases.
  • Proficiency with Microsoft Office 365, including Outlook, Word, Excel, and PowerPoint.
  • Ability to work both independently and collaboratively.
  • Positive, professional, and service-oriented approach to working with others.
  • Strong follow-through, sound judgment, and dependable work habits.

QUALIFICATIONS & EXPERIENCE

  • High school diploma required; associate's or bachelor's degree preferred.
  • One or more years of experience in administrative support, nonprofit programs, customer service, community engagement, education, healthcare, recreation, or a related field.
  • Experience working with CRM or database systems preferred.
  • Experience coordinating projects, events, or community programs is a plus.
  • Bilingual English/Spanish proficiency is a plus.

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

The employee is regularly required to read, communicate verbally and in writing, use a computer for extended periods, and perform repetitive hand motions. The work is primarily performed in an office environment.
