FINANCE LEAD
Works closely with Administration leadership to support PlantCon’s financial operations. Assists with contractor payments, invoice review, expense tracking, budget documentation, financial recordkeeping, reimbursements, and other finance-related tasks. The Finance Lead helps ensure financial information is accurate, organized, properly documented, and submitted on time.
ADMINISTRATION DEPARTMENT
This department supports the internal systems, people, travel, and financial processes that allow PlantCon to operate effectively. It houses the following sub-departments: Administration, People, Travel, and Finance.
Admin Team
Supports the organization’s internal administrative operations, documentation, systems, records, and operates as the organization’s IT function.
People Team
Supports the contractor and volunteer experience, including recruitment, onboarding, agreements, training, performance support, workplace concerns, and organizational culture.
Travel Team
Coordinates travel arrangements for approved travelers, including flights, lodging, itineraries, travel forms, room assignments, and travel-related communication.
Finance Team
Oversees financial processes including budgeting, contractor payments, invoice processing, reimbursements, expense tracking, financial documentation, and internal financial reporting.
Project Types
Your Administration Department Head is here to support you and ensure your team is completing projects accurately and on time. As a member of the Finance Team, you will learn PlantCon's financial processes, contractor payment procedures, budgeting practices, reimbursement procedures, and documentation standards.
This positionplays a critical role in keeping PlantCon financially organized and sustainable. Accuracy, confidentiality, organization, and attention to detail are essential. Many departments rely on Finance for timely payments, budget information, and financial guidance, so maintaining accurate records and communicating proactively is expected.
Pre-Event Projects
- Complete tasks assigned by Administration leadership.
- Review contractor invoices for completeness and accuracy.
- Assist with processing monthly contractor payments.
- Track department budgets and expenses.
- Organize financial documentation and maintain digital filing systems.
- Assist with reimbursement requests and supporting documentation.
Event Preparation Projects
- Verify event-related budgets and expected expenses.
- Ensure payment requests are organized prior to the event.
- Assist with financial tracking for vendors, contractors, and event purchases.
- Coordinate with Operations and Travel regarding anticipated event costs.
- Assist Administration with financial documentation needed before the event.
Week of PlantCon Remote Help
- Monitor Finance-related Discord channels.
- Respond to questions regarding invoices, reimbursements, and payment processes.
- Assist Administration with any urgent financial requests.
- Coordinate with Travel regarding travel-related expenses.
- Help resolve contractor payment questions when possible.
PlantCon Remote Help
- Monitor Finance-related communication channels.
- Assist with processing invoices and reimbursements.
- Update expense tracking documents.
- Organize receipts and supporting documentation.
- Support Administration with any financial needs that arise during the event.
- Assist with post-event reconciliation activities.
REQUIRED QUALIFICATIONS
This role requires exceptional organization, accuracy, professionalism, discretion, and attention to detail. You must be comfortable working with confidential financial information while managing multiple deadlines.
The following are minimum requirements. Proof of previous work may be requested.
Digital Literacy and Technological Proficiency
- Ability to use Discord for everyday communications
- Ability to use Notion for everyday task management and communications as well
- Ability to use Google Workspace for meetings: set meetings up, create booking calendars, create meeting events
Interpersonal skills
- Ability to communicate professionally with contractors and leadership.
- Ability to maintain confidentiality.
- Ability to collaborate across departments.
- Strong written communication skills.
Financial & Admin Skills
- Strong attention to detail.
- Ability to organize large amounts of financial information.
- Ability to manage multiple deadlines simultaneously.
- Basic understanding of bookkeeping or accounting principles.
- Ability to identify discrepancies and ask appropriate questions.
- Ability to follow established financial procedures.
Project Management
- Ability to work on multiple projects simultaneously

- Ability to lift boxes up to 25 lbs.
DESIRED QUALIFICATIONS
- Previous bookkeeping or accounting experience.
- Experience with QuickBooks or similar accounting software.
- Experience managing budgets or expense tracking.
- Strong Google Sheets or Microsoft Excel skills.
- Experience processing invoices or reimbursements.
- Process improvement experience.
- Familiarity with nonprofit financial operations.
STIPEND
This role currently pays $600 each month.
HOURLY EXPECTATIONS
Total Hourly Weekly Expectations: 10-12 Hours
Total Required Meeting Time: 2.5 Hours
MEETINGS
All meetings below are required attendance for this position:
- Monday - 4:00pm to 5:00pm CST - All-Team PlantCon Meeting
- Monday - 5:30pm to 6:30pm CST - Admin Team Meeting
TRAVEL EXPECTATIONS
This position does not require travel to all PlantCon events but if you are able to commit to all 6 events for the calendar year then PlantCon will cover your travel and hotel accommodations. PlantCon does not cover any food or rental vehicle costs at this moment.
If you are unable to commit to all 6, you are still welcome to come. You will be responsible for booking your own travel and hotel accommodations and we will reimburse you $500 on the following invoice.
As a Lead, you will be expected to arrive as early as the Tuesday before a PlantCon weekend and depart the following Monday or Tuesday.
