The Administrative Assistant provides comprehensive administrative and operational support and serves as a key resource for organizational coordination. Reporting to the Office Administrator, this position supports daily operations, maintains records, assists with departmental projects, coordinates meetings and events, and ensures efficient communication across departments. The ideal candidate demonstrates professionalism, sound judgment, confidentiality, and exceptional customer service while supporting the organization’s commitment to operational excellence.
Essential Functions
Provide administrative support by preparing documents, managing calls and emails, monitoring shared inboxes, scheduling meetings, and preparing agendas and minutes. Assist with departmental operations by coordinating processes, maintaining records and inventories, managing supplies and vendor communication, supporting facilities and maintenance requests, monitoring projects, and maintaining confidentiality and compliance. Coordinate internal meetings, trainings, events, and support organizational initiatives and special projects. Deliver excellent customer service by greeting visitors, directing inquiries, and maintaining a professional and welcoming office environment.
Other Duties
- Participate in departmental and organizational meetings.
- Cross-train to support other departments as needed.
- Perform additional duties as assigned.
Requirements
Qualifications and Experience
- At least 60 college-level credit hours.
- Three years of clerical, administrative, or transaction-processing experience.
- Equivalent combinations of education, training, and experience may be considered.
- Must possess and maintain a valid Florida driver’s license.
- Experience supporting multiple managers or departments preferred.
- Experience in government, public sector, or a professional office environment preferred.
Technical Proficiency
Proficiency with:
• Microsoft Office 365 (Word, Excel, Outlook, PowerPoint, Teams)
• Electronic document and project management systems
• Video conferencing platforms
WORK CONDITIONS:
Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.
Sensory Requirements: Some tasks require the ability to perceive and discriminate visual cues or signals, and to communicate orally and in writing.
Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
