Job Description: Property Manager for Fifth + Broadway
SUMMARY: Responsible for property management functions for both office and retail components of a complex mixed-use property including tenant relations, financial reporting, budget management, operations management and supporting the objectives of the organization. Position is full-time, salaried.
REPORTS TO: Senior General Manager– Fifth + Broadway
Establish positive relationships with all new, existing, and prospective tenants by providing strong customer service and responding to inquiries and issues promptly.
Serve as liaison between tenants and ownership; meet with tenants on a regular basis and visit stores regularly. Address tenant’s questions and concerns, administer lease requirements, and seek tenant’s acceptance of all center initiatives and requests; encourage tenant participation in all advertising and events.
Partner with Marketing and Sponsorship departments to plan for and execute marketing events, brand activations, pop-ups, etc.
Complete monthly financial analysis of the office and retail components and report on operating performance as compared to budget. Reporting includes but is not limited to NOI, Accounts Receivable, capital expenditures, and year end projections.
Prepare annual operating budgets for office and retail components including leasing assumptions and related capital expenses, operating expenses, percentage rent projections, major improvements, etc. Complete annual reforecasting of expenses for office and retail components.
Perform physical property/building inspections frequently to identify maintenance needs, janitorial concerns, safety hazards, and other areas of concern. Discuss concerns with property partners/contractors to determine resolution.
Assist and direct property management associates in establishing job requirements/responsibilities and monitoring quality of work and adherence to company policies. Assist in managing property management staff; answer inquiries and questions; train and coach for success.
Manage major vendor relationships by holding regular meetings, site-walks, quarterly business reviews; enforce contract expectations for all parties, work with Director of Operations regarding major contract changes.
Compile retail tenant sales reports and analyze sales trends to inform marketing and property management strategy. Complete monthly executive sales summary for approval.
Serve as escalation point for ongoing delinquencies and watch-list tenants in conjunction with property support roles.
Assist with preparation and execution of monthly asset report meetings.
Prepare responses to routine enquiries and function as a conduit for all tenants, vendors, and client requests.
Prepare and modify documents including correspondence, reports, drafts, memos, and emails to both tenants and contracted vendors.
Review and approve key communications including default letters, cancellation notices, and other communications as needed.
Create and manage all service agreements for vendors and license agreements as needed.
REQUIREMENTS:
A. Degree required, preferably in Business Administration, Real Estate, Finance, Marketing, or related
Minimum 2 years of office or retail real estate management experience, preferably showing increasing levels of responsibility
Must bring a background to enhance operations including an understanding of physical operations, security, tenant relations, lease administration, marketing/events.
Ability to quickly analyze and solve problems
Excellent oral and written communication skills with the ability to professionally interact with stakeholders
Strong analytical and decision-making skills; strong business acumen and financial skills
