We are seeking a highly organized, proactive and technically minded Executive Project Coordinator to work alongside the Director of Projects & Development, supporting the successful execution of a diverse portfolio of projects across the company.
This is a cross-functional role combining executive support, project coordination and technical understanding. The successful candidate will act as the Director's trusted partner, ensuring effective communication, follow-up and coordination across construction, hospitality and corporate projects.
The role requires someone who can understand technical discussions, coordinate multiple stakeholders and maintain visibility over several simultaneous initiatives while ensuring that priorities remain aligned and deadlines are met.
Frequent travel to project sites across Greece is an essential part of this role. The successful candidate will regularly attend site meetings, coordinate with project stakeholders and support the Director on-site throughout the project lifecycle.
Key ResponsibilitiesExecutive Support
- Manage the Director's calendar, meetings and travel arrangements.
- Prepare meeting agendas, presentations and briefing materials.
- Attend meetings, record key decisions and monitor follow-up actions.
- Prioritize incoming requests and ensure timely communication with internal and external stakeholders.
- Act as the first point of coordination for matters requiring the Director's attention.
Project Coordination
- Monitor the progress of multiple projects across different locations.
- Track project milestones, deadlines and action plans.
- Coordinate communication between project teams, consultants, contractors and external partners.
- Ensure deliverables are completed according to agreed timelines.
- Prepare weekly and monthly project status reports for Management.
- Identify potential risks, delays or dependencies and escalate issues when required.
- Maintain project documentation, meeting minutes and progress trackers.
Construction & Technical Coordination
- Travel regularly to project sites across Greece to attend project meetings and monitor progress.
- Participate in technical meetings, site inspections and coordination sessions with engineers, architects, contractors and consultants.
- Understand and review project drawings, construction terminology, specifications and technical documentation.
- Follow up with engineers, architects and contractors regarding project progress, deliverables and outstanding actions.
- Coordinate permits, technical documentation, approvals and regulatory requirements where required.
- Monitor outstanding technical actions and ensure timely resolution.
- Prepare site visit summaries and communicate key updates to the Director and relevant stakeholders.
Cross-Functional Collaboration
- Coordinate initiatives involving Construction, Hospitality and other functions.
- Ensure alignment between different departments working on the same initiative.
- Facilitate effective communication across internal and external stakeholders.
- Bachelor's degree in Civil Engineering, Architecture, Mechanical Engineering or another relevant technical discipline.
- 2–5 years of professional experience in construction, engineering or project coordination.
- Previous experience supporting senior executives or managing multiple projects will be considered a strong advantage.
- Excellent written and verbal communication skills in Greek and English.
- Strong knowledge of Microsoft Office, particularly Excel and PowerPoint.
- Familiarity with project management tools such as MS Project, Asana, Monday.com, ClickUp or similar is desirable.
- Valid Category B driving licence.
- Willingness and flexibility to travel frequently across Greece, including overnight stays when required.
