Position Summary

The Membership & Volunteer Coordinator plays an integral role in delivering an exceptional experience for members and volunteers of the Western Stock Show Association (WSSA). This position provides administrative, operational, and customer service support to the Director of Membership and Director of Volunteers and serves as a key point of contact for members throughout the year, particularly leading up to the National Western Stock Show.

The Membership & Volunteer Coordinator is responsible for maintaining accurate membership and volunteer records, coordinating communications, processing memberships and renewals, supporting volunteer applications, supporting committee activities, and assisting with member and volunteer events. During the annual National Western Stock Show, this position becomes a highly visible member of the Membership and Volunteer team, ensuring seamless member and volunteer services, credential distribution, hospitality operations, and on-site event execution.

This position requires exceptional organization, attention to detail, relationship-building skills, and the ability to thrive in a fast-paced environment while representing the Western Stock Show Association with professionalism and hospitality.

What You'll Do

Essential Responsibilities

Membership and Volunteer Administration

  • Process new memberships, renewals, upgrades, and payments via the CRM (Neon One).
  • Process new volunteer applications via the CRM (Volgistics and Neon One).
  • Maintain accurate membership and volunteer records within the organization’s CRM (Neon One).
  • Assist with membership invoicing and payment tracking.
  • Respond to member and volunteer inquiries by phone, email, and in person.
  • Coordinate membership packets, welcome materials, and annual renewal campaigns.
  • Ensure member benefits are fulfilled accurately and in a timely manner.
  • Support planning and execution of member programs and events.
  • Support documentation of standard operating procedures.

Member and Volunteer Engagement and Communications

  • Assist in executing year-round member engagement initiatives.
  • Coordinate invitations, RSVP tracking, and logistics for member and volunteer events.
  • Support production of membership and volunteer newsletters and communications.
  • Maintain committee rosters and volunteer information.
  • Assist with coordination of recognition of members, volunteers, and donors.
  • Support recruitment and retention efforts through timely member and volunteer follow-ups.

National Western Stock Show- Specific Responsibilities

Pre-Show

  • Prepare membership credentials and Lifetime Member upgrades.
  • Work with WSSA volunteers to assemble member packets.
  • Verify member records and benefits.
  • Support member credential and Lifetime Member upgrade ordering and distribution.
  • Assist with event logistics and hospitality planning.
  • Coordinate signage and printed materials.
  • Prepare reports and operational checklists.
  • Support the creation of volunteer opportunities within the CRM.

During Show

  • Staff the Membership Solutions Booth and serve as the primary point of contact for all membership-related questions.
  • Welcome and assist all Members.
  • Troubleshoot credentials, tickets, and membership issues.
  • Monitor inventory of membership materials and supplies.
  • Maintain accurate records of on-site credential orders and distribution for members and volunteers.
  • Maintain a log of issues and support resolutions.
  • Provide exceptional customer service while representing WSSA.

Candidates must be available for early mornings, late nights, and weekends throughout the 16 days of Stock Show (January 9th-January 24th, 2027), with shifts up to 12 hours per day.

Physical Demands

National Western Complex is a multi-purpose indoor and outdoor commercial and agricultural complex where dusty conditions and animals may exist. While performing the duties of this job, work is performed both indoors and outside in all weather conditions, including extreme cold, snow, wind, and rain, on varied surfaces. In this role, individuals will experience prolonged periods of sitting at a desk and working on a computer. Incumbent must be able to lift 15-25 pounds and access/navigate the National Western Complex in its entirety, with or without reasonable accommodation.

Compensation & Benefits

  • This is a seasonal part-time, non-exempt position, eligible for overtime with 30-40 hours per week.
  • Compensation for this position starts at $25 per hour.
  • Paid sick time offered at the rate of 1 hour for every 30 hours worked.

Potential for Continued Employment: This is a seasonal position expected to end on or about February 12, 2027. Based on business needs, organizational requirements, employee performance, and qualifications, individuals hired into this role may be considered for promotion or placement into a regular full-time position when the seasonal assignment concludes. Any such transition is not guaranteed and remains subject to WSSA/NWSS discretion and applicable law.
