KEY DUTIES AND RESPONSIBILITIES

Event Planning & Coordination

• Coordinate all banquet and event operations from confirmation through execution.
• Review banquet event orders (BEOs) and ensure accurate implementation.
• Conduct pre-event briefings with team members to communicate event details and service expectations.
• Liaise with Conference and Events teams regarding client requirements and special requests.
• Ensure all function rooms are prepared according to event specifications.
• Monitor event timelines and resolve operational issues promptly.
• Conduct post-event evaluations to identify improvement opportunities.

Operations Management

• Oversee the daily operations of the banqueting department.
• Ensure all events are delivered according to hotel service standards.
• Supervise setup, service, and breakdown of banquet functions.
• Maintain cleanliness and presentation of banquet facilities.
• Ensure sufficient staffing levels for all events.
• Monitor inventory of banquet equipment, furniture, linen, glassware, cutlery, and crockery.
• Coordinate equipment maintenance and repairs.

Guest Service

• Deliver exceptional guest service before, during, and after events.
• Welcome event organizers and VIP guests.
• Handle guest concerns professionally and efficiently.
• Ensure all guest requests are fulfilled promptly.
• Build strong relationships with clients to encourage repeat business.

Financial Management

• Assist in preparing departmental budgets.
• Monitor labour costs and scheduling efficiency.
• Control food and beverage costs.
• Manage operating expenses within budget.
• Maximize banquet revenue through upselling opportunities.
• Verify event billing accuracy.
• Review invoices and banquet charges.

Team member Leadership & Supervision

• Recruit, train, coach, and develop banquet team members.
• Prepare team member’s schedules according to business levels.
• Conduct performance evaluations.
• Lead by example in professionalism and service excellence.
• Ensure effective communication within the team.
• Motivate team members to achieve departmental goals.
• Manage disciplinary procedures in accordance with hotel policies.

Health, Safety & Compliance

• Ensure compliance with health and safety regulations.
• Enforce food safety and hygiene standards.
• Ensure safe handling of equipment.
• Conduct regular safety inspections.
• Ensure emergency procedures are understood by team members.
• Maintain compliance with fire and evacuation regulations.
• Ensure responsible alcohol service where applicable.
