Job Summary:
The Development & Public Relations Coordinator will provide essential support to the Development and Marketing team, ensuring donor tracking efficiency and growth, news outlet relationship cultivation, press release creation and event success. This role involves organizing documents, conducting deliveries and pick-ups of event materials, assisting with donor thank you efforts, and coordinating news and public relations.
This is a full time, in-person, 12-month hourly position and reports directly to the Director of Development and Marketing.

Responsibilities

  • Coordinate with Director of Development and Marketing to handle donor and foundation management software such as inputting data and organizing profiles
  • Keep up to date records of grant agreements and sister documents in the W drive
  • Coordinate planning and execution of special events annually with the Director of Development & Marketing and Marketing Specialist by identifying, assembling, and organizing event material as well as event communication
  • Prep donor, foundation, and sponsor thank you letters by addressing and mailing them with 100% accuracy for Director of Development and Marketing or Executive Director to sign
  • Assist with preparation and distribution of mailings
  • Assist with research on grant and foundation request due dates and report to Director of Development and Marketing
  • Create donor email drafts through Network for Good for Director of Marketing and Development Review
  • Assist with design and drafting of McMillen Health Annual Report
  • Coordinate with Director of Development and Marketing to plan annual fundraising campaigns and outreach for new potential donors
  • Collaborate with news outlets, external partners, and community organizations alongside Director of Development and Marketing
  • Draft press releases to send to news contacts and news updates for the McMillen Health Website
  • Research and keep records of up to date news contacts within Allen and surrounding counties
  • Perform general office duties, such as ordering supplies, maintaining equipment, and ensuring a clean and organized workspace
  • Maintain confidentiality at all times
  • Prioritize and complete multiple responsibilities simultaneously while managing time effectively

Qualifications:

· Bachelor’s degree or certification in development, fundraising, or public relations
· Valid Driver’s License
· Presentation skills
· Strong verbal and written communication skills
· Problem solver
· Proven ability to meet deadlines
  • Knowledge of media conduct and donor relations
· Ability to work independently with minimum supervision
· Highly organized, with the ability to track and monitor multiple projects
· Ability to organize, prioritize and manage workload, advising supervisor of significant issues
· Ability to exercise judgment and discretion and maintain confidentiality
· Ability to systematically research growth opportunities.
· Proven ability to handle sensitive information with discretion and professionalism.

· Strong understanding of appropriate information-sharing boundaries in a workplace setting.

We are housed in a 16,000 square foot facility with five themed teaching theaters, a 125 seat auditorium, and a Great Hall with various hands-on displays. We have 14 full- and part-time staff members. Our five professional educators all hold a four-year degree in either education or a health-related field. To date, McMillen has provided fact-based health information and education to over 1.5 million children and teens. We provide 76 programs on general health; safety; HIV/STDs; drug/ alcohol/ tobacco use prevention; nutrition and fitness; human growth and development; bullying prevention, and more. Sample program topics include the Kinderhealth program to teach children about maintaining their health, the Health Adventure program to teach third-graders the four keys of staying healthy, the Balance Your Act program to provide information to middle school students about the health risks and prevention of obesity; and the Breast Self Exam and Testicular Self Exam programs to provide teens with information on the early detection of cancer. In order to best meet the needs of those we serve, McMillen Health offers programs here at our facility, on site at a school or organization within 150 miles, and via interactive videoconferencing (IVC) with up to four classes at once in one of our two state-of-the-art IVC studios. McMillen Health has membership in the (ASHA) American School Health Association and the Northeast Indiana Science, Technology, Engineering, and Math (NISTEM) Center.
