As an Academic Operations Specialist, this role manages the operation and execution of AI/STEM programs in partner schools. Key duties encompass teacher scheduling, back-office administration, material control, and progress tracking, combined with hands-on classroom teaching and training when required.
1. Vận hành & Điều phối giáo viên Operations & Teacher Coordination
Trọng tâm chính / Core focus
Build, update and manage the teaching schedule by period/session/class/site; ensure the right teacher in the right class at the right time.
Coordinate substitute teachers and handle last-minute schedule changes following the established backup protocol.
Track program delivery per school: sessions taught, sessions remaining, completion rate, material status and emerging risks.
Send schedule notifications to teachers and confirm timetables with schools before each week/session using standard templates.
2. Hành chính & Văn phòng chuyên môn Academic Administration & Back-office

Manage class records, student lists, platform accounts, devices and assets; keep the shared tracking files/system fully updated.
Prepare, consolidate and archive operational forms: schedule confirmations, post-session reports, incident logs, progress reports.
Consolidate weekly/monthly/quarterly reports for the Operations team and schools; ensure data is accurate, on time and evidence-based.
Serve as the administrative point of contact between internal team – teachers – schools via official channels (email, class Zalo groups, Slack).
Perform other administrative/back-office duties as assigned by management.

Directly teach AI/STEM classes at schools when assigned or when substitution is needed.
Support training, onboarding and hands-on guidance for new teachers; run experience-sharing sessions.
Co-organize and attend AI/STEM events and workshops hosted by Manabie for students, teachers or partners.

Support standardizing, reviewing and updating lesson plans, slides and materials before handover to teachers.
Propose improvements to operational processes, forms and checklists based on data and real incidents.
Bằng cấp và kinh nghiệm Qualifications
University/College graduate in Education, Educational Management, IT or related fields; AI/STEM background or certificate preferred.
Strong preference for candidates with experience in operations/scheduling coordination, class administration or teacher-team coordination.
Teaching or training experience in AI/STEM/skills is an advantage.

Excellent organizational & coordination skills: managing multi-class/multi-teacher schedules and parallel tasks without errors.
Proficient in office & data tools: Excel/Google Sheets (formulas, trackers, basic dashboards), Word/Docs, email, task-management tools.
Process-oriented, careful, detail-focused, works evidence-based rather than relying on personal memory.
Good classroom management and understanding of middle/high school psychology (for teaching/training duties).
Professional communication with schools, teachers and parents.
