Job Title: Assistant Facility Coordinator

Supervisor: 1972 Facility Coordinator

Department: 1972 Admin

FLSA Status: Exempt

Summary Assist in the Management and maintain all aspects of 1972

Essential Duties – Assist the Facility Manager with all of the following duties:

  1. Work with the Facility Coordinator to develop a facility management program including preventative maintenance and life-cycle requirements.
  2. Conducting and documenting regular facility inspections.
  3. Ensuring compliance with health and safety standards and industry codes.
  4. Planning and managing facility central services such as reception, security, cleaning, catering, waste disposal and parking. Ensure delivery schedules, quantity and quality criteria are met. 
  5. Planning and monitoring appropriate facility management staffing levels.
  6. Respond to facility and equipment alarms and system failures. 
  7. Inspecting structure of building and determine if repairs are needed.
  8. Assist in the management all reservations for 1972.
  9. Allocating and managing facility space for maximum efficiency.
  10. Supervise direct reporting staff according to overall company policy.
  11. Evaluate and adjust energy expenditures.
  12. Advise staff on how to reduce utility bills.
  13. Organize meeting, classroom, lounge and venue spaces.
  14. Create and maintain vendor relationships.
  15. Perform facility equipment obsolescent planning, budgeting and replacement.
  16. Assist in maintaining staff requirements for all associates, counselors, and DSPs.
  17. Participate in programs to improve client and customer satisfaction.
  18. Assist in the management of day-to-day activities of the assigned locations including: ensuring appropriate customer interaction, supervising the completion of all evening closing reports, processing bank deposits, scheduling staff, supervising frontline staff (e.g. Welcome Desk, Floaters, Custodial Staff, etc.), preparing month-end reports, auditing daily cashier shift reports, monitoring and checking of time cards, hiring and training of frontline staff.
  19. All other duties deemed necessary by Facility Coordinator.

Qualifications: 

  1. Maintain reliable transportation available for use during working hours, valid driver’s license and provide proof of automobile liability coverage.
  2. Possess ability to maintain flexible schedule to meet the demands of the department.
  3. Maintain good hygiene.
  4. Possess excellent research and writing skills.
  5. Possess the ability to communicate effectively both verbally and in writing.
  6. Possess the ability to use tact and empathy when dealing with people of varied backgrounds.
  7. Possess the ability to establish effective working relationships.
  8. Possess the ability to work independently and in a team environment.
  9. Be proficient in Windows and Microsoft Office products (Computer literate).
  10. Accept responsibility and demonstrate leadership.
  11. Trustworthy- Able to keep business confidences as required.
  12. Open minded- Willing to embrace change.

Education and/or Experience: 

  1. High school diploma or equivalent required. Bachelor’s degree preferred.
  2. Working knowledge of principles and practices of business administration
  3. Working knowledge of recreational services.
  4. Working knowledge of human resource management principles and practices.
  5. Working knowledge of electrical and mechanical systems.
  6. Solid computer and systems knowledge

Work Environment:

While performing the duties of this job, the employee is occasionally exposed to fumes, airborne particles and outside weather conditions. The noise level is usually moderate but occasionally loud. Use of Personal Protective Equipment such as vinyl or latex gloves is occasionally required.
