Gestionnaire immobilier adjoint(e) – JLL

En quoi consiste ce poste :

En tant que Gestionnaire immobilier adjoint(e), vous jouerez un rôle essentiel dans la gestion quotidienne de propriétés commerciales, en secondant le gestionnaire immobilier pour assurer une expérience locataire exceptionnelle. Ce poste dynamique combine relations avec les locataires, gestion opérationnelle, administration financière et coordination d'événements communautaires. Vous collaborerez étroitement avec l'équipe d'exploitation pour maintenir les plus hauts standards d'entretien tout en gérant les aspects budgétaires et administratifs. À quoi ressemblera votre quotidien :

• Agir comme point de contact principal pour les locataires en l'absence du gestionnaire immobilier, traiter rapidement les demandes et plaintes, coordonner les emménagements et déménagements incluant la gestion des autorisations d'accès et certificats d'assurance

• Planifier et organiser des activités de réseautage et d'engagement communautaire, maintenir à jour les contacts pour les sondages annuels et assurer les suivis pour enrichir l'expérience locataire

• Assister le gestionnaire immobilier dans la gestion quotidienne des opérations, inspecter les aires communes (salles de conférence, gym), vérifier le bon état de fonctionnement des équipements et communiquer toute anomalie à l'équipe d'exploitation

• Participer à l'élaboration du budget annuel et du plan d'immobilisations, réviser et soumettre les comptes fournisseurs avec codage précis, appuyer la perception des loyers et les recouvrements conformément aux baux

• Gérer l'ensemble du cycle de stationnement incluant la préparation et le suivi des baux, la réalisation de l'étude de marché annuelle pour établir les tarifs, et le maintien de la conformité aux ratios exigés

• Collaborer avec les fournisseurs d'entretien ménager, communiquer les changements d'occupation des espaces, préparer les contrats de service et gérer le calendrier et paiement des taxes foncières

• Préparer les rapports, demandes d'achat et trousses d'information pour les locataires, assurer la gestion des décorations des halls d'entrée pour le temps des Fêtes, et maintenir les dossiers conformément aux exigences d'audit de JLL

Qualifications requises :

• Diplôme d'études collégiales (DEC) en techniques de comptabilité et de gestion, administration ou domaine connexe

• 3 à 5 ans d'expérience en gestion de propriétés commerciales et en relations avec les locataires

• Maîtrise de la suite MS Office, YARDI, PRISM et DocuSign/Adobe Acrobat Sign

• Notions de comptabilité et analyse financière

• Bilinguisme obligatoire (français et anglais) à l'oral et à l'écrit, avec habileté en rédaction pour les interactions avec les partenaires externes hors Québec (fournisseurs, cabinets juridiques, institutions financières)

Qualifications préférées :

• Certification RPA ou CPM (en cours d'obtention, un atout)

• Connaissance de PROCORE

• Excellence en service à la clientèle avec solides aptitudes relationnelles démontrées

• Capacité avérée à prioriser et à gérer plusieurs dossiers simultanément dans un environnement dynamique

• Fortes aptitudes analytiques et capacité de résolution de problèmes complexes

Interactions orales et/ou écrites avec des locataires ou partenaires externes basés à l’extérieur du Québec (par exemple, fournisseurs de services, cabinets d’avocats, pairs, banquiers, firmes de courtage, firmes d’analyse de crédit, agences de crédits, clientèle non-francophone, etc.)

Assistant Property Manager – JLL

What this job involves:

As an Assistant Property Manager, you'll play an essential role in the daily management of commercial properties, supporting the Property Manager to ensure an exceptional tenant experience. This dynamic position combines tenant relations, operational management, financial administration, and community event coordination. You'll collaborate closely with the operations team to maintain the highest maintenance standards while managing budgetary and administrative aspects. This opportunity allows you to demonstrate your leadership by embodying JLL's core values: communication, collaboration, and trust. In an environment where every detail matters, your direct contribution influences tenant satisfaction and the operational success of properties under your responsibility.

What your day-to-day will look like:

• Act as primary point of contact for tenants in the absence of the Property Manager, address requests and complaints promptly, coordinate move-ins and move-outs including management of access authorizations and certificates of insurance

• Plan and organize networking activities and community engagement events, maintain updated contact lists for annual surveys and ensure follow-ups to enhance tenant experience

• Assist the Property Manager in daily operational management, inspect common areas (conference rooms, gym), verify proper functioning of equipment and communicate any anomalies to the operations team

• Participate in the preparation of the annual budget and capital plan, review and submit accounts payable with accurate coding, support rent collection and recoveries in accordance with lease agreements

• Manage the complete parking cycle including preparation and follow-up of leases, conduct annual market study to establish rates, and maintain compliance with required parking ratios

• Collaborate with janitorial service providers, communicate changes in space occupancy, prepare service contracts and manage property tax calendar and payments

• Prepare reports, purchase requisitions and tenant information packages, manage entrance lobby decorations for the holiday season, and maintain files in accordance with JLL audit requirements

Required Qualifications:

• College Diploma (DEC) in Accounting and Management Techniques, Administration, or related field

• 3 to 5 years of experience in commercial property management and tenant relations

• Proficiency in MS Office Suite, Yardi, Prism, and DocuSign/Adobe Acrobat Sign

• Knowledge of accounting and financial analysis

• Bilingualism mandatory (French and English) both oral and written, with strong writing skills for interactions with external partners outside Quebec (suppliers, law firms, financial institutions)

Preferred Qualifications:

• RPA or CPM certification (in progress, an asset)

• Knowledge of Procore

• Excellence in customer service with demonstrated strong interpersonal skills

• Proven ability to prioritize and manage multiple files simultaneously in a dynamic environment

• Strong analytical skills and complex problem-solving abilities

Oral and/or written interactions with tenants or external partners based outside Quebec (for example, service providers, law firms, peers, bankers, brokerage firms, credit analysis firms, credit agencies, non-French-speaking clients, etc.)
