Description

Reporting to the Director of JCamp 180, the Program Coordinator provides project management and administrative support to a dynamic team that delivers grants, professional development, and organizational consulting services to nonprofit Jewish summer camps across North America.

This role supports a team of consultants, the Senior Program Manager, and the Director by coordinating projects, managing logistics, maintaining systems, and ensuring programs and services are delivered on time, within budget, and with a high level of quality. The position requires exceptional organization, attention to detail, and the ability to manage multiple priorities in a collaborative environment.

Team members work from the Foundation's headquarters in Agawam, Massachusetts, the New York City office, and remote locations throughout the United States and Canada. The team gathers several times each year for an annual retreat, the JCamp 180 Conference, and Foundation-wide meetings and events.

Requirements

Responsibilities

Working closely with colleagues across the Foundation, the Program Coordinator ensures JCamp 180's programs, grants, and consulting services are delivered with excellence, supporting nonprofit Jewish summer camps in building stronger organizations and vibrant communities.

Professional Development Program Support (30%)

Provide project management and logistical support for JCamp 180's online and in-person professional development programs.

  • Manage project timelines, recurring meetings, and the annual application process, including application materials, interview scheduling, and coordination with program leads.
  • Coordinate logistics for in-person and virtual programs, including venues, vendors, contracts, travel, catering, transportation, and Zoom support.
  • Monitor program budgets, process vendor invoices, and track expenses throughout the year.
  • Develop and distribute participant communications, maintain current program information on the JCamp 180 website, and ensure consistent branding and best practices across all professional development programs.
  • Coordinate participant evaluations and prepare summary reports to measure program effectiveness.

Department Operations (30%)

Provide administrative, logistical, and operational support to the JCamp 180 team.

  • Coordinate the biannual renewal process for affiliated camps and support consultant recruitment efforts.
  • Support consultants with meeting coordination, presentation development, note-taking, research, and tracking project deliverables.
  • Schedule team meetings, retreats, and gatherings, coordinating logistics such as venues, catering, speakers, and materials.
  • Maintain Salesforce data, generate reports, support staff in using the system effectively, and assist with testing and implementing new functionality.
  • Maintain the team's SharePoint site and organize department documentation and annual planning materials.
  • Process invoices and ensure timely payment of department expenses.
  • Support special projects, including research, resource development, template creation, and content development to strengthen JCamp 180's consulting practice.
  • Assist with Foundation-wide events and initiatives as needed, including conference support, video projects, and management of JCamp 180-branded materials and inventory.

JCamp 180 Conference (20%)

Provide project management and logistical support for JCamp 180's annual conference.

  • Coordinate presenter contracts, honoraria, invoices, and vendor documentation.
  • Partner with the Conference & Events team to manage venue logistics, accommodations, catering, audiovisual needs, and conference operations.
  • Manage conference communications, provide logistical support for speakers and presenters, and assist with on-site event execution.
  • Coordinate post-conference evaluations and documentation and prepare briefing materials and scheduling support for the Director.

Grant Administration & Support (20%)

Support the implementation and administration of JCamp 180 grant programs.

  • Partner with the Grants Department to support grant implementation, reporting, deadlines, and project management.
  • Assist in developing grant guidelines, application materials, and supporting documentation.
  • Collaborate with the Marketing & Communications team to promote grant opportunities and prepare grant progress reports.
  • Compile and analyze qualitative and quantitative data for reports and presentations.

Qualifications

The ideal candidate is a highly organized project manager who enjoys building systems, coordinating complex initiatives, and supporting a collaborative team. They are passionate about helping nonprofit organizations thrive and advancing JCamp 180's mission to strengthen Jewish summer camps and the communities they serve. Candidates who bring a strong connection to Jewish camping and enthusiasm for supporting its long-term success are especially encouraged to apply.

  • Excellent organizational skills and exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Ability to work independently while collaborating effectively with a team.
  • Demonstrated project management abilities.
  • Ability to improve processes and develop efficient internal systems.
  • Curiosity about organizational development, evaluation, nonprofit consulting, and philanthropy.
  • Proficiency with Microsoft Office, including Word, Excel, and PowerPoint.

  • Familiarity with Salesforce or similar CRM platforms, along with the ability to quickly learn new technologies.
  • Creative problem-solving skills and a willingness to contribute ideas in a collaborative environment.
  • Flexibility to support evolving team priorities and special projects.
  • Ability to travel occasionally (approximately three to five trips per year).

Preferred Qualifications
