Job Title: Membership Support Specialist                              FLSA Status: Full-time, non-exempt

Department: Community Recruitment                                   Reports To: Strategic Partnership Manager

Location: Austin, Texas, hybrid remote 

Job Purpose : The Membership Support Specialist provides operational and administrative support for the council's member recruitment efforts. This role is responsible for maintaining recruitment resources, ensuring data integrity, coordinating recruitment processes, and attending community recruitment events. Reporting to the Strategic Partnership Manager, the position partners with the Membership team to deliver effective recruitment initiatives and exceptional service to prospective members.

 

 

Essential Functions

Recruitment Operations

  • Accurately document and maintain operational processes that support new member recruitment initiatives.
  • Maintain recruitment documentation, templates, and resource libraries.
  • Prepare materials and resources for meetings, trainings, and recruitment initiatives.
  • Ensure recruitment resources remain organized, accurate, and current.

Recruitment Event Support

  • Attend and support new member recruitment events at schools and community locations.
  • Welcome prospective girls and families and answer questions about Girl Scouts.
  • Represent Girl Scouts professionally at recruitment events and community outreach activities.
  • Prepare, organize, and maintain recruitment event materials and supplies.
  • Support council-wide recruitment campaigns and special initiatives.


Data Quality

  • Review recruitment records to ensure information is complete and accurate.
  • Conduct routine audits of recruitment data using the council's customer relationship management (CRM) system.
  • Coordinate updates to recruitment records and identify recurring data quality issues.

Recruitment Resources & Training Support

  • Organize and maintain recruitment toolkits, forms, templates, and supporting documentation.
  • Update recruitment resources following process or policy changes.
  • Prepare materials for recruitment trainings and meetings.
  • Maintain and update onboarding resources for recruitment staff.

 

 

Required Qualifications

  • One or more years of experience working for a membership-based, youth-based, nonprofit or other related organization.
  • Strong interpersonal skills, including a natural curiosity and openness about other perspectives and an ability to be diplomatic and professional when interacting with a wide variety of people and sensitive situations.
  • Ability to work effectively cross-departmentally, cultivating a culture of collaboration, and demonstrating respect for cross-departmental processes, staffing, and expertise.
  • Effectively interact, work, and collaborate with people of various cultural backgrounds and promote an environment of inclusivity.
  • Ability to positively influence others and maintain effective relationships with key stakeholders.
  • Ability to critically assess current processes and suggest improvements.
  • Strong written and oral communication, public speaking, and presentation skills.
  • High-level proficiency in Microsoft Excel, Word, and Outlook or similar productivity software. 
  • Ability to make a commitment to the philosophy of Girl Scouting, both nationally and locally.
  • Capable of maintaining strict confidentiality and professionalism when handling sensitive information.
  • Yearly membership in GSUSA is required. 
  • Maintains a valid TX driver’s license, an acceptable driving record, acceptable vehicle insurance, and reliable transportation to travel within Girls Scouts of Central Texas service area.
  • Satisfactory results from a criminal background check.

 

Education

 

  • Bachelor's degree in a related field or equivalent work experience to meet job requirements. 

 

 

Preferred Qualifications 

  • Experience with CRM software tools (e.g., Salesforce), data warehouse tools (e.g., Looker), task management software (e.g., Asana), and training software.
  • Bilingual in English/Spanish. 

 

Physical Requirements

  • This is largely a sedentary role but involves walking or standing for brief periods of time and for special events.
  • Frequent travel within the greater Austin area. Occasional travel throughout the rest of GSCTX’s assigned geographical area, including Waco, San Angelo, Killeen, Bryan/College Station, and Brownwood. Infrequent travel opportunities outside the Girl Scouts of Central Texas region.
  • Frequent use of computers and other office productivity machinery, such as copy machines and printers.
  • Periodic filing will require the ability to reach, push, pull, bend, stoop or stand as necessary. Will occasionally lift office products and supplies weighing up to 30 pounds.
  • Normal visual acuity and field of vision, hearing and speaking abilities, finger dexterity and repetitive hand motions for manual manipulation of a keyboard or mouse.
  • Ability to read, write, and communicate verbally and in written form to express and exchange ideas and can understand, remember, and communicate routine information.
  • Ability to compose material such as operating procedures, organization-wide communications, detailed reports, and slides to aid in presentations.
  • Ability to maintain emotional control under stress.
  • Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the key responsibilities of this position.
     

Environmental Demands 

  • Continuous indoor activity and exposure to fluorescent light.
  • Some outdoor activities and exposure to weather. 
  • Ability to work in the office and travel 20% of time to other locations within the council jurisdiction time to meet with members, collaborate with diverse community groups, and represent the council in the community.
  • Work some nights and weekends, as needed.
  • Frequent work under stress and under pressure of deadlines.
