The Role
We are hiring a detail-oriented Documentation and Funding Administrator to own the documentation and funding process for complex equipment finance transactions. You will be the operational backbone that turns approved deals into funded transactions, making sure every UCC filing, landlord waiver, vendor invoice, and funding package is accurate, complete, and on time. Success looks like clean, audit-ready files, no funding delays caused by documentation gaps, and deals that close on schedule because the paperwork never slows them down.
Responsibilities
- Prepare and verify complete documentation packages for lease and loan transactions, from initial document request through booking and funding.
- Assemble master leases, equipment schedules, promissory notes, guaranties, and riders using company templates and negotiated documents.
- Prepare and file UCC Financing Statements, order and review lien searches, and process lien perfection on titled equipment.
- Obtain landlord waivers, mortgagee waivers, non-interest letters, and subordination agreements as the transaction structure requires.
- Track vendor invoices and progress payments, and coordinate timely, accurate payments within credit approval parameters.
- Prepare and deliver funding packages that meet funding source requirements and timelines, and clear post-funding exceptions promptly.
- Maintain accurate deal data in LeasePlus and Salesforce, and keep files organized and audit-ready.
- Partner with Sales, Credit, Syndication, and Accounting to resolve issues and communicate deal status proactively.
Qualifications
- 3+ years in equipment leasing or finance documentation and funding (large-ticket, complex leasing preferred).
- Working knowledge of UCC lien perfection and filing, insurance certificate review, organizational documents, and signature authority verification.
- Familiarity with master leases, schedules, promissory notes, guaranties, and structures such as TRAC, Split-TRAC, FMV, and First Amendment leases.
- Experience obtaining landlord and mortgagee waivers, non-interest letters, and subordination agreements.
- Systems: LeasePlus or a comparable lease accounting system and Salesforce preferred, plus advanced Word, Excel, and Outlook.
- Detail-obsessed, highly organized, and self-motivated, with strong written and verbal communication and a genuine sense of urgency.
- High school diploma or equivalent required, bachelor's degree or equivalent experience preferred.
- Nice to have: paralegal training, multi-state sales and use tax knowledge, or experience with funding sources and syndication.

Details
Irvine, CA. Full-time, on-site. Compensation is $75,000 to $125,000 per year plus a performance-based annual bonus, with a full benefits package (401(k), medical, dental, vision, HSA and FSA options, life insurance, PTO, tuition reimbursement, and professional development support).
