The Administrative Coordinator will manage daily office operations, including payroll processing, vendor coordination, and workplace resource management. They will also serve as the primary point of contact for employees regarding administrative inquiries and travel arrangements.

As the go-to person for all things people and office operations, you'll keep our day-to-day running smoothly while supporting E&Cers:
Own the payroll process by partnering with our external payroll providers to ensure salaries are paid accurately and on time, while keeping contracts, benefits, and employment conditions fully compliant with legislations
Be the first point of contact for employees, providing support on payroll, holidays, leave, contracts, benefits, travel arrangements, office equipment, and a wide range of day-to-day administrative questions
Coordinate with external partners, including accountants, insurance providers, and other local stakeholders, ensuring information is shared accurately and efficiently
Keep the office running like clockwork by managing office supplies, equipment, correspondence, visitor reception, incoming calls, and relationships with service providers (e.g. maintenance vendors)
Oversee workplace resources, including fleet, mobile phones, internet services, laptops, and other office equipment, ensuring everything is available and functioning smoothly
Coordinate business travel for the employees, arranging flights, accommodation, car hire, and itineraries to ensure hassle-free travel
Jump in wherever needed, providing proactive ad hoc support to help the team and business operate efficiently.
Fluent English and Spanish is a must (verbal and written) – any other language is a plus
Relevant experience in administrative support
Exceptional organizational skills
Agility to respond to changing priorities, demands and timelines
A “can-do” attitude, a mind-set of process improvement and willingness to learn new skills
Reliability, trustworthiness and maintaining confidentiality
Good knowledge of Microsoft Office
