Position Summary

The Senior Finance Coordinator provides high-level administrative and operational support to the Senior Vice President, Finance, Investments & Treasurer and senior finance leadership team. This role serves as a critical coordinator for executive priorities, committee governance, and financial operations, handling sensitive and confidential information with professionalism and sound judgment.

A key focus of the role is ensuring the timely and accurate preparation of committee materials and financial documentation, supporting the Foundation’s fiduciary, governance, and investment responsibilities. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, high-performance environment.

Key Responsibilities

Executive Leadership Support

  • Enable the effectiveness of the Senior Vice President, Finance, Investments & Treasurer and finance leadership team by proactively coordinating priorities, workflows, projects schedules, meetings, travel, and administrative operations.
  • Drive efficient execution of leadership commitments by managing competing demands, anticipating needs, and ensuring timely follow-through on key initiatives.
  • Facilitate clear, professional communication with internal and external stakeholders through the preparation of correspondence, agendas, and presentation materials.
  • Protect confidential and sensitive information while exercising sound judgment, discretion, and professionalism in all interactions.

Committee Support

  • Lead the delivery of accurate, complete, and board-ready materials for Investment, Finance, Audit, and Social Impact Investment Committees 
  • Coordinate seamlessly across departments and external partners to ensure committee materials are prepared, reviewed, and distributed on schedule.
  • Strengthen governance effectiveness by managing committee logistics, maintaining official records, and tracking decisions and follow-up actions.
  • Maintain comprehensive historical documentation that supports compliance, governance, and audit requirements.

Financial, Investment & Banking Documentation

  • Coordinate the preparation and execution of critical financial, investment, banking, and compliance documentation to support the Foundation’s fiduciary responsibilities.
  • Ensure financial and investment records remain organized, accurate, and audit-ready to support operational excellence and regulatory compliance.
  • Facilitate timely completion of investment subscriptions, as well as other bank and financial documentation by partnering with finance, legal, investment staff, custodians, banks, and external advisors.
  • Support audits and compliance reviews through the maintenance and retrieval of high-quality documentation and records. 
  • Monitor financial and investment shared mailboxes to ensure timely response to important and time-sensitive communications, documentation, and requests

Requirements

 

Required Qualifications

  • Education: Bachelors’ degree  
  • Experience: 4 to 6 years of related experience, and ability to handle complex projects simultaneously and multiple clients 
  • Technical Skills: Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel. Also experience with Canva is preferred.  

Work Environment 

  • The role is primarily office-based, involving frequent interaction with executives, and staff. 
  • The position may require prolonged periods of sitting, as well as occasional lifting of light office supplies and materials. 
  • Occasional extended hours to meet deadlines or support special events. 
  • Occasional travel may be required for meetings, events, or conferences.
