Job Summary

Clark County Parks and Nature is seeking its next Office Assistant III. A key position that has direct impact on the quality of life throughout Clark County.

Do you like to develop business processes and have a keen eye to details? Clark County Parks has the opportunity for you!

The Office Assistant III works with staff throughout the division to advance the parks system while supporting the division’s business practices and activities. This position provides a wide range of business activities for the division. The primary responsibility is to provide customer service, both internally and externally, by performing moderately difficult to complex administrative support activities.

It is an exciting time in Parks and Nature. We are building new parks, improving the existing parks and expanding our programs to meet the needs of the residents of Clark County. Clark County provides regional parks, special facilities, regional trails, greenways, and natural areas throughout the county, along with neighborhood and community parks and sports fields.

Qualifications

The ideal candidate will have the following strengths:

  • Excellent interpersonal oral and written communication skills
  • Excellent customer service skills
  • Advanced computer skills in MS Office (Word, Excel, Outlook, PowerPoint, SharePoint, Teams), and databased experience
  • Highly organized and self-directed
  • Experience in managing shared files system
  • Ability to work with a diverse population

Education and Experience:

Three to five years of responsible and advanced administrative support experience including the full range of office and support functions; telephone and reception, word processing, spreadsheet and other personal computer applications, filing systems, mail, supplies, budgeting, accounting and others. In those positions requiring typing, the incumbents must, upon entry into the position, be able to type at a rate of no less than 55 words per minute. May be required to possess or obtain a valid motor vehicle operator’s license.

Other combinations of education or experience, which would demonstrate the ability to perform the work, will be considered.

Knowledge of:

  • General office procedures and practices
  • A variety of software and hardware systems
  • Basic bookkeeping and/ or receipting practices
  • Standard office equipment and computer applications on a variety of devices

Ability to: Establish and maintain cooperative and effective working relationships; master the more complex department processes, services and functions; operate standard office equipment such as computer software applications, telephones, facsimile machines, copy machines; apply sound judgment in making decisions independently in accordance with established policies, procedures, and regulations; effectively maintain harmonious relationships with customers, including co-workers; diffuse difficult or highly charged situations; follow oral and written instructions; effectively guide and assist other employees; evaluate and improve department service delivery through enhancement of procedures, systems, organizational approaches and record keeping; develop and demonstrate effective customer service techniques; communicate effectively both orally and in written form.

Selection Process:

Oral Interview - The interview will be job related and may include, not limited to, the qualifications outlined in the job announcement. Top candidate(s) will continue in the process.

Employment references will be conducted for the final candidates and may include verification of education.

It is general policy of the County that new employees should be hired at the lower steps of the applicable range and advance through the range at the normal progression.

First review of candidates will be August 12th. This recruitment may close at any time on or after the first review date with no additional notice.

Examples of Duties

Duties may include but are not limited to the following:

  • Provides a full range of administrative support using computer software skills

  • Effectively operates complex equipment and office machinery

  • Coordinates and organizes meetings, activities and functions

  • Assist in developing program related materials and procedures

  • Staff report preparation and processing

  • Tracks and processes contracts, services; reviews and processes invoices

  • Tracks and ensures receivables, payables, and refunds

  • Processes employee timesheets

  • Manage Division shared drives, databases for tracking division/program information; creates and produces complex reports from databases as required and necessary

  • Work with other Departments and Divisions and external contacts to research or coordinate work assignments

  • Open, distribute and/or respond to correspondence for Parks and Nature Division of Public Works

  • Update website as needed

  • Proof read/edit, create agendas, meeting minutes, forms and promotional materials

  • Assists in developing general office procedures and processes.

  • Work within Computerized Maintenance Management Systems (CMMS)

Retirement Information

All Clark County employees must participate in a WASHINGTON STATE RETIREMENT SYSTEM PLAN (PERS, PSERS or LEOFF).Employee contributions begin the first day of work. Current contribution rates vary by plan but could range from 5% to 15% of gross pay, depending on the plan choice.
