Join the City of Fair Oaks Ranch as a Full-Time Deputy City Secretary and play an important role in supporting transparent, responsive, and effective local government. This onsite position offers an exciting opportunity to work closely with City leadership, elected officials, employees, residents, and community partners while helping ensure the City meets its legal, administrative, records-management, and election-related responsibilities.

With a starting annual salary of $57,472, you will be rewarded for your professionalism, attention to detail, and commitment to public service. The City offers a comprehensive benefits package that includes Medical, Dental, Vision, Life Insurance, a Flexible Spending Account, Paid Time Off, and participation in the Texas Municipal Retirement System, with a 7% mandatory employee contribution and a 2:1 City match.

What's Your Day Like?

As Deputy City Secretary, you will help manage and coordinate the daily operations of the City Secretary's Office and may serve as the City Secretary when needed. Your work will support compliance with federal, state, and local laws while helping preserve the City's official records and history.

Your responsibilities will include preparing and distributing City Council, board, commission, and public hearing agendas, notices, information packets, ordinances, resolutions, minutes, and supporting documentation. You will attend official meetings, coordinate meeting setup, document proceedings, and ensure required follow-up items are completed.

You will also assist with the City's records-management program, review and process public information requests and solicitation permits, support municipal elections, and help ensure official documents and records are accurate, secure, and maintained in accordance with Texas law.

In this highly visible role, you will regularly communicate with elected officials, City employees, residents, vendors, and representatives from other government agencies. You will also manage special projects, provide procedural and operational recommendations, and handle confidential and sensitive information with professionalism and discretion.

Are You the Deputy City Secretary We're Looking For?

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities and deadlines in a public-sector environment. You should possess excellent written and verbal communication skills, strong proofreading abilities, sound judgment, and a commitment to providing exceptional customer service.

You should also be able to interpret and apply laws, policies, procedures, and professional standards while maintaining effective working relationships with the Mayor, City Council, employees, residents, and community partners.

Minimum qualifications include:

  • Associate degree in Public Administration, Business Management, or a closely related field from an accredited college or university
  • Two years of municipal government experience
  • An equivalent combination of education and experience may be considered
  • Certification as a Texas Registered Municipal Clerk, or the ability to demonstrate significant progress toward obtaining certification within three years of employment
  • Valid Texas Class C Driver's License

Preferred qualifications include:

  • Certification as a Notary Public, or the ability to obtain certification within one year of employment
  • Knowledge of the Texas Open Meetings Act, Texas Public Information Act, and Texas Election Code
  • Understanding of public administration practices, Robert's Rules of Order, and laws governing municipal operations
  • Ability to interpret legal, ethical, and professional standards applicable to public employees and elected officials
  • Strong writing, grammar, punctuation, proofreading, and verbal communication skills
  • Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint
  • Ability to perform complex administrative work using sound judgment and deductive reasoning
  • Ability to maintain confidentiality and safeguard sensitive records and information
