Bridgeway Therapy Center is seeking a full-time Medical Administrative Representative / Front Desk team member. The primary responsibilities of this position include obtaining and managing insurance authorizations, verifying insurance eligibility and benefits, and providing exceptional customer service while covering the front desk each afternoon. This role is essential in ensuring timely authorization of services, supporting therapists and families, and maintaining efficient front office operations.
Schedule: Monday–Friday, 10:00 a.m. – 6:00 p.m. (In-Office)
Essential Functions/Primary Job Responsibilities

- Obtain prior authorizations based on medical necessity while adhering to each insurance carrier's authorization requirements and policies.
- Monitor and follow up on insurance authorizations for all therapy disciplines to ensure uninterrupted services.
- Investigate and resolve authorization-related insurance denials.
- Maintain and update authorization documentation within the Electronic Medical Record (EMR) system.
- Verify client insurance eligibility and benefits.
- Utilize the organization's EMR system (CentralReach) to document authorizations, schedule changes, and client information.
- Cover the front desk daily from 3:00 p.m. – 6:00 p.m., greeting clients, families, staff, and visitors in a professional and welcoming manner.
- Answer and route incoming phone calls promptly and professionally.
- Welcome visitors, notify staff of arrivals, and manage front entrance access.
- Cancel and update therapist appointments within the EMR system as needed.
- Communicate with parents and caregivers regarding appointments, attendance, scheduling
Qualifications, Skills, and Abilities
- High school diploma or GED required.
- Minimum of two (2) years of experience in a healthcare administrative setting or related field required.
- Basic understanding of commercial insurance, Medicaid, and insurance authorization processes.
- Strong customer service and telephone communication skills.
- Excellent organizational skills with exceptional attention to detail.
- Strong analytical, critical thinking, and problem-solving abilities.
- Ability to communicate professionally and effectively with management, staff, clients, families, and community partners.
- Ability to maintain strict confidentiality and comply with HIPAA regulations.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, email, and database systems.
- Ability to work independently while managing multiple priorities in a fast-paced environment.

Preferred Qualifications
- Knowledge of medical terminology, ICD-10-CM, and CPT coding guidelines preferred.
- Experience obtaining and managing insurance prior authorizations preferred.
- Experience with Electronic Health Record (EHR) systems required; experience with CentralReach preferred.
