MISSION STATEMENT

The mission of the Boys & Girls Clubs of Central Orange Coast is to ensure every child has mentors and champions in life.

ORGANIZATION STRUCTURE AND INTERFACES

Position Reports To: Director of Innovation

Direct Reports: None

Primary Interfaces: Club Leadership, Site Staff, Innovation Team, Operations Team, Technology Support Provider, Strategic Partners, Vendors, Volunteers, and Community Partners

FLSA Status: Non-Exempt

Hours: Part-time; schedule established based on organizational and program needs

POSITION SUMMARY

The Innovation Coordinator serves as an operational partner within the Innovation Department and is responsible for coordinating the systems, resources, technology, documentation, and logistics that enable high-quality innovation initiatives across Boys & Girls Clubs of Central Orange Coast.

Working closely with the Director of Innovation, Club leadership, internal departments, and external partners, this role ensures innovation projects are organized, properly resourced, and consistently implemented. The Innovation Coordinator supports Spark Spaces and other strategic initiatives by maintaining project plans, coordinating technology and equipment, organizing implementation resources, and supporting effective communication and follow-through.

Success is measured not only by the completion of assigned tasks, but by the Coordinator's ability to build reliable systems, protect and optimize organizational investments, anticipate operational needs, and help transform innovative ideas into engaging learning experiences for youth.

COMMITMENT TO SAFETY

  1. Contribute to an environment of safety through the learning, implementation, and monitoring of all safety-related best practices, policies, and procedures.
  2. Promote accountability to safety through consistent observation, adherence to all safety rules and practices, and proactive communication among members, parents, peers, and leadership.
  3. Obtain and maintain Mandated Reporter training and complete annual Child Abuse Prevention training.
  4. Complete required training and participate in all Emergency Preparedness protocols, including drills and communication practices.

INNOVATION IMPLEMENTATION & PROJECT COORDINATION

  • Coordinate innovation initiatives under the direction of the Director of Innovation, including Spark Spaces and other strategic innovation efforts.
  • Maintain implementation plans, timelines, workplans, task lists, and project tracking systems.
  • Coordinate meetings, communications, documentation, and follow-up activities.
  • Monitor implementation progress, track commitments, and identify operational support needs.
  • Support collaboration among Club staff, internal departments, external strategic partners, and vendors.
  • Prepare status updates and organize information needed for decision-making.
  • Escalate risks, delays, resource needs, and implementation concerns promptly.

OPERATIONS, RESOURCE MANAGEMENT & TEAM SUPPORT

  • Maintain and coordinate a centralized management system for innovation technology, equipment, instructional resources, and supplies.
  • Coordinate the deployment, availability, inventory tracking, and utilization of innovation resources across Club sites and partner locations.
  • Serve as the primary liaison with the organization's technology support provider regarding innovation-related technology requests, equipment status, and implementation priorities.
  • Coordinate technology support requests, monitor ticket status, and communicate updates affecting member-facing technology.
  • Monitor resource availability and identify maintenance, replacement, purchasing, and replenishment needs.
  • Coordinate purchasing, vendor communication, calendars, meeting logistics, and departmental operational support.
  • Prepare innovation spaces, technology, equipment, and materials for trainings, demonstrations, pilots, partner visits, and community engagement events.
  • Maintain organized storage and ensure innovation resources are secured, accessible, and ready for use.

DOCUMENTATION & KNOWLEDGE MANAGEMENT

  • Develop and maintain implementation guides, templates, toolkits, checklists, and supporting resources.
  • Prepare, format, organize, and maintain training materials and digital learning resources for organizational learning platforms and staff development channels.
  • Maintain project documentation, standard operating procedures, implementation records, and organizational knowledge.
  • Organize digital resources, project files, shared drives, and document version control.
  • Support the development of presentations, communication materials, training resources, and implementation documentation.
  • Ensure documents and resources are accurate, current, accessible, and aligned with organizational standards.
  • Document recurring processes to support consistency, continuity, and knowledge transfer.

PILOT SUPPORT & CONTINUOUS IMPROVEMENT

  • Coordinate logistics for pilot implementation and new innovation efforts.
  • Collect, organize, and summarize implementation feedback from staff, youth-facing teams, partners, and stakeholders.
  • Assist in documenting lessons learned, outcomes, challenges, and recommendations for continuous improvement.
  • Support project closeout activities and the transition of successful pilots into broader organizational implementation.
  • Identify opportunities to improve workflows, resource systems, communication practices, and implementation tools.
  • Support evaluation activities by organizing participation, implementation, and resource utilization information.
  • Apply lessons learned to strengthen future projects and support scalable implementation.

CROSS-FUNCTIONAL & PARTNER SUPPORT

  • Provide responsive operational support to Club teams implementing innovation initiatives.
  • Build positive working relationships with site leaders, staff, strategic partners, vendors, and technology providers.
  • Coordinate partner visits, demonstrations, meetings, and implementation activities.
  • Represent the Innovation Department professionally during internal and external interactions.
  • Communicate expectations, updates, and resource information clearly and consistently.
  • Support a collaborative, solutions-oriented approach to implementation challenges.

REQUIRED SKILLS & QUALIFICATIONS

  • Relevant education, training, or professional experience in education, nonprofit operations, business, project coordination, technology support, or a related field preferred.
  • Minimum of two years of experience supporting projects, programs, operations, or organizational initiatives.
  • Experience working in a nonprofit, education, youth development, or community-serving organization preferred.
  • Strong organizational, project coordination, and time-management skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Demonstrated ability to manage multiple priorities while maintaining strong attention to detail.
  • Ability to organize information, maintain accurate records, and coordinate multiple projects simultaneously.
  • Proficiency with Microsoft Office 365 and cloud-based collaboration tools.

PHYSICAL REQUIREMENTS

This position may require the ability to sit, stand, walk, bend, reach, lift, carry, push, or pull objects up to 50 pounds. The role may also require transporting, setting up, and organizing technology, equipment, supplies, and instructional materials at Club sites and partner locations.
