Full job description

The Canadian Centre for Professional Legal Education (CPLED) is a non–profit organization that offers the Bar Admission Program in Alberta, Manitoba, Saskatchewan, and Nova Scotia, as well as other pre-call legal education. Students must article and complete CPLED’s Bar Admission Program, the Practice Readiness Education Program (PREP), to be called to the Bar.

 CPLED is dedicated to helping students hone their practical skills and assesses how well they are able to apply their legal knowledge and skills in everyday situations. This helps ensure new lawyers are well-equipped to meet the demands of the workplace. CPLED maintains a high standard of programs and services for students to ensure a strong transition into the legal profession.

The Registration Assistant is a key member of the Operations team and works closely with the team to provide administrative assistance and support. Key responsibilities include supporting student registration processes, maintaining accurate student records, providing timely and professional service to students and interest holders, resolving registration-related issues, safeguarding confidential information, and collaborating with internal teams to ensure efficient operations.

 Success in this position requires excellent attention to detail combined with strong communication, teamwork, interpersonal, organizational, and time management skills.

Key Responsibilities: 

As a Registration Assistant and member of the Operations team, you will:

  • Monitor departmental inboxes, triage inquiries, and forward or respond to requests as appropriate.
  • Support the registration of new students by assisting with related processes and administrative tasks.
  • Collect, review, and verify student information and supporting documentation.
  • Provide exceptional customer service and respond to inquiries in a professional and timely manner.
  • Ensure accurate data entry and maintain complete and up-to-date student records.
  • Collaborate effectively with internal teams to support a smooth and efficient registration process.
  • Assist in resolving issues or discrepancies related to student registration in a timely and professional manner.
  • Handle confidential information with discretion and maintain the privacy of student records.
  • Assist with the preparation of reports related to student registration activities and operations.
  • Develop and maintain positive working relationships with staff, other departments, and internal and external interest holders.
  • Perform other related duties as assigned.

  • Timeliness: Commit to a deadline and meet those deadlines in a timely manner.
  • Compassion: Treat internal and external customers with dignity and compassion and work with customers to find solutions within the guidelines of CPLED’s policies.

Qualifications: 

  • Administrative Assistant/Office Assistant certification, or equivalent and/or two years of relevant experience is considered an asset
  • Proven ability to work independently and collaboratively within a strong team environment.
  • High level of professionalism; excellent communication and interpersonal skills.
  • Strong communication (written and verbal), customer service, time management, organizational, listening, and telephone skills.
  • Strong attention to detail is a must.
  • Intermediate Microsoft Office skills (Word, Outlook, Excel, etc.) and the ability to adapt to new software and technology
  • Familiarity and skills in customer relationship management systems are considered an asset.
  • Collaboration skills, with an ability to work with all individuals and groups.
  • Self-starter, able to work independently with minimal supervision and to take on projects as required.
  • Ability to multi-task in a fast-paced environment and meet deadlines under pressure.
