The Administrative Coordinator supports the Texas General and Operations Managers in planning and scheduling commercial low voltage projects. Key duties include procuring materials, maintaining project files, and coordinating with warehouse and accounting teams.
Candidates must have a valid driver's license, a clean driving record, and proficiency in MS Office. Experience working with commercial construction contractors or engineering firms is highly preferred.
We are seeking a skilled Administrative Coordinator to join our team. In this role you will work directly for the Texas General Manager and Texas Operations Manager assisting and helping them in the planning, organizing, supervising, and scheduling of multiple commercial low voltage projects, as well as any support needed for the installation/sales teams. The person needs to be very detailed and organized, and ideally have experience working with a contractor in commercial construction, an Architectural or Engineering firm.
· Based on input from our manager supervisors, and foreman you will procure and track material, assist with scheduling and coordinating equipment deliveries as needed, and create/track service orders.
· Gather, organize, and maintain the project files consisting of contract drawings, specifications, change order logs, RFI’s and other correspondence as well as CSI proposals and shop drawings. This includes maintaining and organizing material packing slips for projects and service orders.
· Work directly with the Accounting and Purchasing team on material orders and bookings
· Assist customers getting any questions and concerns in a timely and professional manner.
· Complete all appropriate company paperwork as required.
· Assist with creating/maintaining materials containing local references from customers, local org charts, and team project bios.
· Assist sales with customer/supplier prequalification as needed.
· Answering Phones.
· Maintain office supplies.
· Coordinating with warehouse - shipping/receiving, job staging.
· Create material order requests and stage materials for jobs.
· Coordinating with warehouse for shipping and receiving equipment and material.
· Sorting and grouping received equipment and material into individual job bins for technician pickup.
· Valid driver's license with a clean driving record.
· Applicants must meet requirements in relation to background and driving record.
· Must be highly proficient working in an office environment and the use and application of industry related equipment including MS Office.
· Must have excellent communications skills, using tact and diplomacy when dealing with customers.
· Regular, reliable, predictable attendance.
