Vị trí Quản lý nhóm tổ chức sự kiện và liên hệ khách hàng chịu trách nhiệm trong việc lập kế hoạch tổ chức sự kiện, hoạt động của công ty và cung cấp dịch vụ hỗ trợ nhân viên trong quá trình đào tạo, công tác nước ngoài, góp phần nâng cao trải nghiệm việc làm của nhân viên tại MiTek Việt Nam. Đồng thời, vị trí này cũng đóng vai trò cần thiết trong việc duy trì, phát triển mối quan hệ tốt đẹp, lâu dài với khách hàng, chủ động hỗ trợ và đáp ứng nhu cầu của khách một cách nhanh chóng và hiệu quả. Vai trò này yêu cầu ứng viên có khả năng làm việc tích cực dưới áp lực thời gian, kỹ năng tư duy phản biện cao khi điều hướng các tình huống phức tạp và đưa ra các quyết định phù hợp trong quá trình tổ chức sự kiện, hoạt động, trong mối quan hệ tương tác với khách hàng và nhân viên.

The Events and Client Liaison Manager is responsible for planning to organize company's events, activities and providing support services to employees during oversea training, business trip, which contributes to enhancing employee's working experience at MiTek Vietnam. Additionally, this position also plays an essential role for maintaining and sustaining positive, long-term connections with customers, proactively supporting and meeting customers' demands quickly and effectively. This position requires candidate having ability to work actively under time pressure, high critical thinking skills when navigating complex situations and making appropriate decisions during the event, activities operation, in an interactive relationship with customers and employees.

What You Will Do:

Responsibilities

• Lập kế hoạch tổ chức sự kiện hàng năm theo chiến lược chung của công ty và đề xuất, quản lý ngân sách bộ phận
• Làm việc, phối hợp với quản lý các bộ phận để theo dõi lịch trình, hỗ trợ khách hàng của công ty khi đến MiTek Việt Nam
• Phối hợp với các bộ phận trong việc duy trì và phát triển mối quan hệ bền vững, đáng tin cậy với khách hàng, là đầu mối liên hệ trực tiếp giữa khách hàng và công ty về việc sắp xếp các thủ tục, quy trình liên quan đào tạo, công tác, sự kiện trong và ngoài nước.
• Sắp xếp, điều phối nhân lực và hỗ trợ tất cả khách hàng trong các chuyến đi của họ đến công ty, chuẩn bị đầy đủ các giấy tờ, hồ sơ cần thiết, đảm bảo các trải nghiệm tốt cho khách hàng
• Giải quyết các vấn đề của khách hàng và gia đình khách hàng (nếu có), của nhân viên trong suốt thời gian công tác một cách kịp thời và hiệu quả
• Tổ chức, giám sát và điều phối kế hoạch tổ chức các sự kiện, hoạt động, dự án kết nối nhân viên.
• Đàm phán, thương lượng và trao đổi trực tiếp với nhà cung cấp dịch vụ về các hợp đồng, chứng từ thanh toán và hồ sơ liên quan
• Quản lý và điều động đội xe, bao gồm các phương tiện vận chuyển của công ty và thuê ngoài.
• Kiểm soát các yêu cầu tạm ứng, yêu cầu thanh toán của nhóm theo chính sách của công ty và đảm bảo trong ngân sách được phân bổ
• Xây dựng, đề xuất và tối ưu hóa các quy trình thủ tục, biểu mẫu liên quan theo quy định, chính sách công ty và đảm bảo tính cập nhật, hiện hành
• Hướng dẫn và phát triển nhóm bằng cách đề ra các mục tiêu rõ ràng, có thể đo lường và dẫn dắt nhóm đạt được các mục tiêu đó, góp phần vào việc thực hiện chiến lược chung của công ty
• Các nhiệm vụ khác theo sự phân công

• Planning the annual event according to the overall strategy of the company and proposing, managing the department's budget
• Work and coordinate with department managers to track schedules, support customers of the company when coming to MiTek Vietnam
• Co-operate with other Segments/Departments in maintaining and developing sustainable, reliable relationships with customers, be the main point of contact between customers and the company in terms of arranging procedures and processes related to training, work, events in domestic and abroad
• Arrange, coordinate personnel and support all customers during their trips to the company, prepare all necessary documents with the aim to ensure a good experience for customers
• Solve the problems of customers and their families (if any), employees during their trips timely and effectively
• Organize, supervise, and coordinate the organization of events, activities, projects related to employee’s engagement
• Negotiate and contact directly with service providers about contracts, payment documents and other related documents
• Manage and coordinate the Transportation team, including company and rented vehicles
• Control the team’s advance and payment requests according to company policy and ensure them within the allocated budget
• Build, propose and optimize related processes, procedures and forms according to the company regulations, policies and ensure they are up-to-date and current
• Guide and develop the team by setting clear, measurable goals, and leading the team to achieve those goals, supporting the company's overall strategy
• Other reasonable duties as assigned

Qualifications

• Tốt nghiệp Đại học
• Ít nhất 5 năm kinh nghiệm trong ngành Quản lý sự kiện, Du lịch hoặc các lĩnh vực liên quan
• Trình độ tiếng Anh (CEFR) B2 hoặc tương đương
• Kỹ năng đàm phán và thuyết phục tốt
• Kỹ năng quản lý rủi ro
• Thể hiện sự hiểu biết sâu sắc về dịch vụ khách hàng bao gồm việc thực hiện các quy định về sự hài lòng của nhân viên.

• University qualification
• At least 5 proven experience years in Event Management, Tourism or related field
• English level (CEFR) B2 or equivalent
• Strong negotiation and persuasive skills
• Risk management skills
• Demonstrated customer service insights including the implementation of employee satisfaction charters.
