Job Summary

The Office Manager is responsible for the end-to-end management of VIRTUS' UK Head Office (LONDON Central) environment, ensuring it is a safe, well-maintained and high-quality workplace that supports both employee experience and business operations.

This role acts as the central point of coordination for all office-related services, including supplier management, facilities oversight and landlord engagement. Working closely with internal teams, the Office Manager ensures the office operates efficiently, remains compliant and reflects the standards of the business.

As part of the Executive Support Team, the role contributes to a collaborative, centralised function that provides seamless operational support across the business.

This role is based at our central London office 5 days a week Mon-Fri

Duties and Responsibilities

Key Responsibilities

Front of House & Office Operations

· Own the day-to-day running of LONDON Central, maintaining consistently high standards across all environments, facilities and shared spaces

o Act as the primary front of house presence, creating a professional and welcoming experience for visitors, managing arrivals and access, meeting room bookings and hospitality (e.g. room setup and catering)

· Manage post, couriers and deliveries

· Provide a visible and approachable presence in the office, supporting day-to-day workplace needs

· Support and coordinate office-based activities and initiatives that contribute to a positive and engaging workplace culture (e.g. small-scale events, seasonal moments and team engagement activities)

· Maintain internal documentation for office operations and procedures

· Ensure appropriate on-site coverage aligned with business needs – based at LONDON Central 5 days per week.

Supplier & Facilities Management

· Manage office supplies, stationery, kitchen provisions and workplace equipment

· Manage all office-related supplier contracts (including landlord/Service Charge related costs) and budgets, ensuring cost control, value for money and strong service delivery

· Act as the primary point of contact for maintenance, coordinating schedules and ensuring facilities, equipment and service standards are consistently met

Landlord & Building Management

· Act as the primary point of contact for the landlord and building management, representing the business on all office-related matters

· Oversee building-related activities ensuring maintenance, access and shared services are effectively coordinated and issues resolved

Compliance, Security and Health & Safety

· Support a safe and compliant office environment, working with internal teams to ensure policies, standards and regulatory requirements are consistently met

· Coordinate audit preparation, documentation and compliance activities (including ISO frameworks), maintaining accurate records and partnering with internal specialists (ownership remains with the Compliance Team)

· Own and coordinate office-specific business continuity plans, ensuring readiness for workplace disruptions and working with relevant teams to maintain resilience of office operations

Stakeholder & Team Collaboration

· Act as the primary contact for employees on office-related matters, building strong working relationships across the business

· Support onboarding logistics for new starters at LONDON Central including access arrangements, new starter kits and LONDON Central specific safety / security inductions

· Coordinate with internal teams (e.g. IT, People, Security and Compliance) to support the smooth running of LONDON Central

· Support internal communication of office-related updates and changes to employees where relevant

· Work collaboratively as part of the Executive Support Team, contributing to shared responsibilities, cross-cover and wider business priorities where appropriate

Qualifications:

Knowledge, Skills & Experience

· Proven experience in office management, workplace operations or facilities coordination

· Experience managing third-party suppliers and service providers

· Strong organisational skills with the ability to manage multiple priorities

· Excellent stakeholder management and communication skills

· Understanding of workplace compliance and health & safety requirements

· Experience supporting audit processes or working in regulated environments is advantageous

· Proactive, hands-on approach with a strong sense of ownership and accountability

· Takes ownership of the workplace environment and standards

· Builds strong, collaborative relationships across the business

· Demonstrates attention to detail and pride in delivery
