The Disbursement Assistant supports the firm’s case closing and disbursement process by preparing key documentation, coordinating to gather outstanding materials, and ensuring files are accurately closed out in Litify. This role requires strong attention to detail, and excellent follow-up skills.
Essential Functions:
Draft referral letters and lien pay letters accurately and in a timely manner, ensuring all necessary case and payment details are correctly reflected.
Prepare Medical Records USB drives paired with the corresponding settlement folder for handoff to the front team.
Proactively follow up with the case teams to obtain physical files needed to complete the disbursement process.
Follow up with teams to secure “request to close” submissions, ensuring files move through the closing pipeline without unnecessary delay.
Close out completed files in Litify, ensuring all required fields, notes, and statuses are accurately updated.
Conduct quality control checks by following up on client check deposits to confirm timely processing and resolve any discrepancies.
Other duties as assigned.
Qualifications:
High School diploma or equivalent required.
Strong written and verbal communication skills, particularly for formal correspondence.
Previous administrative experience in an office environment is best but not required.
Excellent organizational and attention to detail skills.
Must have the ability to learn and navigate a complex software application.
Comfortable with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and other relevant software.
Ability to work effectively both independently and as part of a team.
