About the role

As our Office Management & Facilities Intern, you will help ensure the smooth day-to-day operation of our office in Leiden. You will provide practical and administrative support across office management, facilities, logistics and events. You will work closely with the Office Manager and other internal stakeholders to help maintain a safe, organised, and welcoming workplace environment.

This is a hands-on internship for someone who enjoys organising activities, coordinating practical arrangements and helping colleagues with day-to-day office and facilities matters. You will gain experience in office management, facilities administration and event support while working with different departments across the company.

Key responsibilities

• Support office stock management, including the ordering and replenishment of supplies and consumables.
• Maintain internal office information and displays and assist in updating floor plans and seating arrangements.
• Coordinate facilities-related administration, including invoices, documentation and Facilities Portal requests.
• Help maintain organised and welcoming shared office spaces and support the receipt and internal distribution of goods and packages.
• Provide general administrative support related to office and facilities matters.
• Support visitor management, reception-related activities and the onboarding of new employees, including facilities-related materials and welcome communication.
• Assist with the coordination, communication and documentation of facilities-related initiatives.
• Support the planning, coordination and logistics of internal and external events.

• Currently enrolled in an MBO or HBO programme in Office Management, Facility Management, Business Administration, Event Management or a related field.
• Good written and verbal communication skills in English; Dutch is an advantage.
• Accurate, proactive and well organised, with attention to detail.
• A flexible attitude and a practical approach to solving problems.
• Ability to work independently and as part of a team.
• Comfortable using Microsoft Office.
• Able to handle confidential information with discretion.
• A collaborative, international, and mission-driven team culture.
• Mentorship and collaboration with an international, diverse, and multidisciplinary team.
• Practical experience in office management, facilities coordination and event support.
