Job Title: Chief Operating Officer (COO)

Reports to: Executive Director


Job Summary: The COO is a pivotal member of our team responsible for overseeing daily operations and internal functions to ensure organizational efficiency and alignment with our mission. Working closely with the Executive Director, Equipo De Apoyo, and the Board, the COO helps shape and implement operations management, strategic plans, guide team leadership, and provide financial oversight. This role is essential to sustaining the organization and fostering meaningful, lasting connections within the Latinx community.

    • Capacity Building Director
    • Administrative Support Specialist

Duties/Responsibilities:

Overseeing Internal Operations:

  • Assists the Executive Director in managing the day-to-day operations of the organization, ensuring smooth workflow and efficiency across all teams
  • Identifies and implements strategies to improve internal processes and systems, enhancing the organization's overall effectiveness
  • Fosters a positive work culture and supports staff development

Strategic Planning:

  • Collaborates with the Executive Director and board to develop and implement the organization's strategic plan and annual operations plan
  • Works with Executive Director and staff to carry out activities consistent with the strategic plan

Budgeting and Finance:

  • Collaborates with the Executive Director and Board Finance Committee on budgeting, financial reporting, and fiscal accountability
  • Acts as liaison with the Board Finance Committee
  • Assists Board Finance Committee in creating and complying with financial controls
  • Oversees planning and operation of annual budget in collaboration with Executive Director and Board
  • Provides oversight and reviews of taxes, budget, financial statements and reconciliations

Compliance:

  • Assists the Executive Director and Board to ensure the organization complies with relevant laws, regulations, and policies, including labor laws and employment practices

Program Oversight:

  • Ensures programs are aligned with the organization's mission and strategic goals
  • Oversees program planning, implementation, and evaluation to ensure quality and effectiveness
  • Leads the logistics and planning of community events

External Partnerships and Consulting:

  • Engages with external stakeholders, including partners, donors, and the community
  • Develops scopes of work, contracts, and manages deliverables for external partnerships
  • Integrates partners into programming to increase impact and reduce costs
  • Drafts proposals and manages consulting projects
  • Supports and leads the consulting team to complete projects, including assisting with the development of consulting materials
  • Oversees the Social Entrepreneurship program to ensure sustainability

Board Liaison:

  • In conjunction with the Executive Director, serves as a liaison with the board of directors, providing regular updates on organizational performance and critical issues

Communication:

  • Maintains clear and consistent communication with the Executive Director, Equipo De Apoyo, Board of Directors, and staff

Grants:

  • Helps manage grant activity related to day to day operations; including financial auditing, and financial reporting


Other Duties

● Performs other job duties as assigned

Responsibilities include

  • Commitment to the Acuerdos of the Latina Women’s Movement
  • Attend weekly staff meetings and evening and weekend events as required
  • Respond in a timely manner to messages during work hours
  • Report to Executive Director during check-ins as scheduled
  • Be mindful that as a team member of La Casita Center you are seen as representative of the organization at all times, in physical and digital spaces
  • Assist with maintaining La Casita Center space and regular office hours
  • In the event Executive Director is unavailable, assumes role of Executive Director

Required Skills/Abilities:

Mission-driven mindset and alignment with organization’s values

Capacity to prioritize, meet deadlines, and delegate tasks

Expertise in developing, managing, and analyzing budgets and financial reports

Ability to act with integrity, professionalism, and confidentiality

Excellent interpersonal, negotiation, and conflict resolution skills

Excellent verbal and written communication skills

Proficiency in Excel program and spreadsheet development

Strategic thinking and the ability to translate vision into operational plans

Ability to build and maintain relationships with diverse stakeholders

Education and Experience:

Bachelor’s degree in Business Administration, Nonprofit Management, Public Administration, or related field required

At least five to ten years related experience preferred

Fluency in Spanish language required

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer
