Job Summary:

The Medical Crew Scheduling Coordinator is responsible for the scheduling, coordination, and administration of medical crew staffing in support of Keewatin Air's aeromedical operations. This position ensures adequate staffing coverage for all missions, manages schedule changes, coordinates travel and accommodation requirements, maintains staffing records, and supports the administration of travel and accommodation expenses associated with medical crew operations.

The role requires strong organizational skills, attention to detail, effective communication, and the ability to manage multiple priorities in a fast-paced 24/7 operational environment.

Qualifications and Requirements:

  • Minimum: Completion of Grade 12 (High school diploma)
  • Previous scheduling, logistics, administration, or operations coordination experience preferred.
  • Experience in healthcare scheduling, aviation operations, medevac operations, or a related environment considered an asset.
  • Strong organizational and time management skills.
  • Excellent communication and problem-solving abilities.
  • Proficient with Microsoft Office Suite, scheduling software, and database management systems.
  • Ability to work independently and manage multiple priorities in a dynamic operational environment.
  • Must be able to obtain and maintain applicable transportation Security clearances
  • Legally eligible to work in Canada
  • Current Criminal Record Check
  • Indigenous Awareness and/or Cultural Diversity training considered an asset

 

Responsibilities and Accountabilities:

 

  • Develop and maintain medical crew schedules to support operational requirements.
  • Coordinate shift rotations, vacation coverage, sick leave, and short-notice staffing changes.
  • Monitor staffing levels and proactively address scheduling and coverage gaps.
  • Manage standby, on-call, and rotational staffing schedules.
  • Communicate crew assignments and scheduling updates accurately and promptly.
  • Maintain scheduling systems, staffing records, and crew availability information.
  • Collaborate with Medical Operations and the SOCC to ensure continuous mission coverage.
  • Coordinate medical crew availability for planned, ad hoc, and emergency missions.
  • Support staffing solutions during operational disruptions and irregular operations.
  • Liaise with Medical Operations, Dispatch, Flight Operations, and Base Management regarding staffing needs.
  • Coordinate crew travel and accommodation arrangements while managing associated budgets.
  • Maintain travel profiles and support rotational travel requirements in partnership with the Travel Coordinator.
  • Review and reconcile travel and accommodation expenses to ensure policy compliance.
  • Assist with payroll verification, operational reporting, audits, and scheduling documentation.
  • Identify and implement process improvements to enhance scheduling efficiency and operational effectiveness.

 

Working Conditions:

  • Office setting: Schedule: 8 hours per day - Monday to Friday (8:00 am to 4:30 pm). Occasional after-hours support during operational disruptions.
  • Tools & Equipment: Daily use of desktop or laptop computers, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for audit reports, data analysis, and presentations
  • Physical Demands: May involve prolonged periods of sitting, computer use, and occasional standing or walking.
  • Frequent interaction with medical personnel, dispatchers, flight operations staff, finance personnel, travel coordinators, and management.
