Responsibilities

The Administrative Assistant manages the agency's lobby, handles consumer scheduling, and performs various clerical tasks including data entry and social media management. They also provide support to the Regional Director and serve as the primary point of contact for visitors and incoming communications.

Full job description

Position: Administrative Assistant

Supervisor: Regional Director

Location: OCDEAF

Classification: Non-exempt, 100% FTE

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Under the supervision of Regional Director, the Administrative Assistant:

  1. Schedules appointments for consumers to meet with advocates.
  2. Handles the Information and Referral process.
  3. Manages the agency’s lobby area. Greets and guides all visitors, including vendors, consumers and job candidates.
  4. Ensures completion of paperwork, sign-in and security procedures.
  5. Handles special administrative projects for the Regional Director.
  6. Answers and transfer all incoming voice, videophone, and TTY calls.
  1. Performs clerical duties, including but not limited to delegating and responding to emails in addition to other light office duties as needed.
  1. Enters consumer statistics into computer database
  2. Assists with managing social media for the office including creating flyers for workshops and events, managing monthly e-news emails to distribute, and keeping up to date with posting on the social medias
  1. Performs such tasks and responsibilities as may be delegated.

QUALIFICATIONS:

  1. Bachelor’s degree with a minimum of 2 years’ clerical/office experience.
  2. Fluency in American Sign Language required and Spanish strongly preferred.
  3. Demonstrate proficiency in Microsoft Office programs, and excellent verbal and written communication skills are required.
  4. Experience with Canva, video editing, graphic design, and managing social media is preferred
  5. Must possess the ability to relate and be sensitive to deaf persons with varied communication skills and language levels, and be able to work with a diverse, multi-ethnic population.
  1. Must maintain the highest level of confidentiality. Demonstrated ability to perform professionally. Punctuality and reliability are a must.
  1. Must maintain a cooperative relationship with co-employees, directors, and the CEO.
  2. As business needs require, employee’s schedule may be adjusted to allow for coverage at Deaf Expos and other deaf outreach events that occur on weekends.
  3. Must have reliable transportation and maintain up-to-date auto insurance.

About GLAD:

The Greater Los Angeles Agency on Deafness is a private non-profit organization that was founded in 1969 and now has 13 locations serving 10 counties in Southern California.

Our goal is to protect the civil rights, and ensure equal access for the deaf, hard of hearing, deafblind, and deaf disabled communities in particular areas of California, including the counties of Los Angeles, Orange, Kern, Ventura, Santa Barbara, San Bernardino, Riverside, Mono, Inyo and San Luis Obispo, to all of life’s opportunities.

GLAD’s general purpose and powers shall be to promote the educational, health, housing, vocational, cultural, social and recreational welfare of its deaf and hard of hearing constituents.

The organization’s specific and primary purposes shall be to act as a coordinating agency addressing the broad social service needs of deaf, hard of hearing, deafblind, and deaf disabled individuals through direct service provision, advocacy, research and dissemination of information to the consumers, professionals and parents.
