Clear Motivations Adult Day Program is looking for a Full-Time Office Manager to join our team and help lead the daily operations of our program.
This is more than an office job. As our Office Manager, you'll be a key part of creating a welcoming and supportive environment for adults with diverse abilities, their families, and our staff. You'll help ensure our office runs efficiently while bringing positive energy and exceptional customer service to every interaction.

What You'll Do
Office & Administrative Leadership
Oversee daily front office operations and help ensure the office runs efficiently and professionally.
Greet participants, families, visitors, and staff with a warm and welcoming attitude.
Answer phones, respond to emails, and handle inquiries professionally in both English and Spanish.
Manage participant registration, records, data entry, paperwork, and other administrative responsibilities.
Maintain organized and accurate documentation and electronic records.
Staff & Program Coordination
Assist with scheduling and coordinating coaches and administrative staff.
Help ensure appropriate daily staffing and office coverage.
Communicate schedule changes, staffing needs, and important updates to the team.
Support the daily coordination of program activities and office operations.
Customer Service & Communication
Serve as a primary point of contact for participants, families, staff, and visitors.
Provide exceptional customer service and respond to questions and concerns with professionalism and empathy.
Build positive relationships with families and community members.
Help ensure every person who enters our office feels welcomed, respected, and valued.
Safety, Confidentiality & Compliance
Monitor visitor access and help maintain a safe and secure environment.
Follow company policies and procedures related to participant confidentiality, health, safety, and program operations.
Handle sensitive participant and employee information with professionalism and discretion.
Help ensure administrative processes are completed accurately and on time.
Positive Leadership
Bring an upbeat, friendly, and professional attitude to the workplace every day.
Help create a positive and motivating environment for participants and staff.
Lead by example through professionalism, accountability, teamwork, and respect.

Requirements
What We're Looking For
We are looking for someone who is organized, dependable, personable, and genuinely passionate about helping others.
The ideal candidate will have:
Previous experience as an Office Manager, Front Office Manager, Office Administrator, or in a similar role.
Experience in healthcare, social services, disability services, or a related field is preferred.
Fluency in English and Spanish is strongly preferred
Bachelor's degree in Office Management, Business Administration, or a related field, or equivalent education and experience is preferred
Strong organizational and multitasking skills.
Excellent attention to detail.
Strong written and verbal communication skills.
Proficiency with Microsoft Word, Excel, Gmail, and other office technology.
Experience with electronic records and scheduling systems is a plus.
Ability to work effectively with individuals from diverse backgrounds, including adults with disabilities.
Ability to maintain confidentiality and handle sensitive information appropriately.
Strong problem-solving skills and the ability to stay calm and professional in a busy environment.
