The Payroll Specialist is responsible for all elements of timely preparation and accurate processing of Buitoni’s weekly and bi-weekly payroll. The position includes the coordination and processing of new hires and separations, retroactive payments; leave of absence payments; compensation changes; bonuses; commissions; and deductions. The Payroll Specialist role implements payroll initiatives and projects which requires strong technical and communication skills and the ability to simultaneously manage tasks to meet Company standards and deadlines. This Payroll Specialist will partner with various departments: including Accounting, Human Resources, production and Sales to achieve these goals.
Role and Responsibilities
Execute timely and accurately the processing of weekly and bi-weekly payroll for approximately 300 employees
Process supplemental payroll and any out of sequence checks such as separations and corrections
Audit timecards for accuracy and approvals and resolve timecard questions
Review quarterly/annual payroll tax reports and W2s
Ensure all local, state and federal governmental requirements are met, such as taxes and withholdings
Assists in management of employee portal as it pertains to payroll, withholdings and benefits
Work closely with all departments to ensure accuracy in employee pay and financial reporting
Coordinating and facilitating the offering of benefits via online enrollment and assisting in establishing rates and payments to benefit carriers
Respond to auditors’ requests related to payroll and assist with annual financial, Workers Comp and 401K audits
Respond timely to payroll requests and resolve employee issues, including wage garnishments and other withholding issues
Manage 401K activities and interact directly with the 401K provider to ensure proper handling of employees’ enrollment, loans, repayments, distributions, rollovers, and payroll contributions; provide yearly census and compliance testing to 401K provider; assist with year-end filing of Form 5500
Identify and implement process modifications based on changes in rules, regulations, emerging issues and trends to improve payroll processing and employee satisfaction -Ensure data integrity is time records, pay-rates, withholdings, internal financial and external third-party reporting
Update and revise policies and procedures related to payroll processing as needed
Complete monthly Union dues checkoff
Respond to unemployment claims
Process employee reimbursements
Coordinate with payroll provider to proactively manage correspondence related to tax payments, rate issues, etc.
Create and manage process for wage garnishments
QualificationsRequirements, Minimum Education Level, and Experience:
Must have a GED or High School diploma
Must be proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Excellent communication (both oral and written) and interpersonal skills
Ability to prioritize workload and self-manage projects, handle multiple tasks and meet strict deadlines
Must be detail oriented and have strong problem solving and decision-making skills
Must be able to work with all levels of employees and management within the organization and offer off shift coverage and work extended hours
Knowledge of office equipment and procedures
Preferred
Bachelor’s degree or equivalent combination of education and experience
5-8 years of experience processing multi-state payrolls
Experience with Paycom Payroll Processing & Workforce Now preferred
Excellent skills in MS office with high proficiency in Excel
HRIS knowledge experience
Strong verbal and written communication skills, including ability to clearly and effectively communicate information to internal and external audiences
Strong sense of urgency and ability to handle a high volume of data with confidentiality, accuracy and discretion
