Job Description Summary
The Program Coordinator is a key member of the residency program leadership team and oversees the administrative and operational management of the ACGME-accredited Orthopaedic Surgery Residency Program. In partnership with the Program Director and departmental leadership, this role ensures compliance with ACGME accreditation standards, institutional policies, and regulatory requirements while supporting the program’s educational mission and daily operations.
The Program Coordinator serves as a primary liaison among residents, faculty, institutional GME leadership, and accrediting bodies. In collaboration with the department’s Program Education Assistant, the Program Coordinator provides oversight and communication support for medical student rotations and shadowing opportunities, ensuring alignment with residency program priorities. This position reports to the Department Chair, Division Chief, and Residency Program Director, with direct administrative supervision by the Department Administrator.

Job Duties:
20% - Manage daily operations and logistics. Work with Graduate Medical Education office to process new/returning residents; manage, update, ensure appropriate active state licensure, DEA, DHEC, other accreditation requirements; schedule required certification classes (ACLS, etc.); work with Program Director to organize lectures/materials needed for training/education of residents; manage E-value system to ensure successful required input for resident/faculty data to provide Evaluative resident and program information/statistics; prepare reports of residents hours and activities for appropriate institutional and governmental agencies; manage and maintain all off site affiliation agreements; maintain residents files; organize and assist annual Siegling Day program resident and graduation ceremony; prepare and submit all necessary CME paperwork; serves as liaison with other departments and institutions.
20% - Coordinate ACGME and accreditation and reporting requirements: Maintains compliance with and updates knowledge of current ACGME accreditation requirement for program and institutions. Develops new policies and procedures in response to new or revised policies. Coordinate preparations for accreditation site visit. Compiles, updates and submits reports to ACGME, ABOS, FREIDA and other professional organizations as required. Coordinates the administration of the Orthopaedic In Training Examination (OITE). Oversees conference schedules, specifically room arrangements
20% - Function as department liaison with Graduate Medical Education office and College of Medicine Dean’s office; act as a clearinghouse and information source for all residency issues; proactively communicate with residents via various modalities for reminders on course work, lecture responsibilities, etc. Meet with Program Director to provide updates and process improvement. Attend PC meeting for GME office.
20% - Applicant Recruitment Process for Orthopaedic Surgery Program: responds to 700+ annual inquiries for Orthopaedic Surgery Residency Program; review, coordinate, compile each applicant’s academic record (application, Dean’s letters, academic transcripts, letter of recommendation, board scores, etc.); organize/implement computer assisted resident candidate selection departmentally via Electronic Residency Application System (ERAS); manage interview process for approximately 100 applicants from letter of interview through coordinating/scheduling interview visit; correlate ERAS computer data and compile report to faculty for ranking applicants for National Resident Matching Program (NRMP); plans and arranges social activities; coordinate/manage orientation to ensure smooth transition into MUSC hospital system. Support ERAS program on faculty computer for application review process. Maintains constant communications will applicants, faculty and resident throughout entire process. Coordinate visiting student, scholar, and medical doctor orientations, rotating schedules, and those relevant documents to process their start.
5% - All other related duties as required or assigned, such as: Coordinates AAOS Annual Alumni banquet (out of state); matriculates non ACGME research residents; organize all guest speaker arrangements; organizes PGY 1 ABOS Surgical Skills Modules; maintain CME and Trauma CME for faculty including Grand round rosters, etc; upload and coordinate letters of recommendation for medical students.
5% - Act as a liaison for medical students: Assists with medical student evaluations, grading process, and rotations. Expedite shadowing and observation opportunities for international doctors, high school students, college students, PT students and possible PA students. Facilities orientations for medicals students.
5% - Schedules: Organize and manage intern rotation schedule; manage monthly call schedule changes for residents. Record call schedule and changes to Simon on call system and maintain current schedules
