Responsible for accurately entering and managing data within the company’s systems, ensuring data integrity and accuracy across all departments. This role involves maintaining, updating, and organizing data to support operational processes and decision-making. The specialist will also support system troubleshooting, ensure seamless data flow, and assist in the integration and maintenance of various systems used within the organization, ensuring alignment with operational needs.
Key Responsibilities:
Data Entry and Management
Accurately enter and update data into internal systems, including customer orders, inventory records, production schedules, and financial data.
Ensure that all data entries are correct, complete, and updated in a timely manner to avoid operational disruptions.
Regularly audit and verify the accuracy of data entered into systems, resolving any discrepancies or errors.
Maintain databases and records, ensuring that data is organized, up-to-date, and easily accessible for all departments.
System Monitoring and Support
Monitor the data flow between different systems and departments to ensure data consistency and integrity.
Support system administrators in troubleshooting data-related issues, providing first-level support for system problems and user inquiries.
Assist in the integration and implementation of new software or system upgrades to ensure compatibility and smooth data transfers.
Reporting and Documentation
Generate and maintain reports based on data from various systems, providing insights into operational performance, inventory, and order management.
Ensure that data reports are accurate, formatted correctly, and submitted to relevant departments on time.
Provide feedback on system performance, identifying areas for improvement or streamlining of data processes.
Data Security and Compliance
Ensure data privacy and security protocols are followed in compliance with company policies and legal regulations.
Work closely with the IT team to implement data backup strategies and safeguard sensitive information.
Maintain and monitor user access permissions to ensure authorized personnel have appropriate access to data systems.
Process Improvement and System Optimization
Identify opportunities to streamline data entry processes and improve efficiency through automation or improved workflows.
Collaborate with other departments to enhance data integration between systems and optimize the use of data in decision-making.
Support training initiatives for staff on how to properly use data systems and enter data accurately.
Qualifications:
Bachelor’s degree in Information Technology, Business Administration, or a related field.
At least 1-2 years of experience in data entry, system management, or administrative roles, preferably in a manufacturing or supply chain environment.
Proficiency in Microsoft Excel, Google Sheets, and ERP software (SAP experience is a plus).
Strong attention to detail and a high level of accuracy in data management tasks.
Excellent organizational and time-management skills, with the ability to handle multiple tasks and meet deadlines.
Strong problem-solving skills, with the ability to identify data inconsistencies and implement corrective actions.
Good communication skills to collaborate with other teams and provide clear updates regarding data processes and issues.
