Business Unit Sales Coordinator

Whippany Actuation Systems is a dynamic aerospace company that designs and manufactures electromechanical actuators and control electronics for commercial and military applications. Recognized as experts in our industry for over 75 years, we are a fully integrated manufacturing company which takes responsibility for the success of our business and acts quickly to implement new ideas and projects to ensure company growth.

We are looking for a Business Unit Sales Coordinator to serve as the primary point of contact for customers throughout the customer sales cycle and work collaboratively with other departments to ensure on time delivery. They are responsible for supporting the sale of new and existing products and will oversee the development and execution of all marketing initiatives. In this role, you would typically:

  • Administers assigned contracts by handling contract modifications, ensuring compliance with customer Purchase Order (PO) requirements, proposal preparation, and contract negotiation with existing or prospective clients.
  • Performs all aspects of assigned contracts or purchase order processing including, but not limited to, accuracy of order entry data, contract funding, scope changes, contract amendments, receipts and delivery schedules, legal requirements, and other commitments.
  • Coordinates with other company functions as required to ensure appropriate reviews are conducted, schedules required reviews, and obtains required review and approval signatures prior to submittal of proposals or execution of contractual document.
  • Builds and maintains customer relationships. Investigates concerns and adjusts complaints concerning deliveries or service and refers complaints to designated departments for investigation. Aids customers with problem resolution and troubleshooting.
  • Plan and execute marketing initiatives including but not limited to, print/digital advertising, social media, and website maintenance.
  • Assists in ensuring contract acquisition and fulfillment in accordance with company polices, legal requirements, customer specifications, FAR and DFAR.

We require:

  • Bachelor’s degree in finance, accounting, or business administration (or high school diploma/GED with at least four years’ relevant experience).
  • At least 3 years of experience with contract administration, customer relations, or supply chain.
  • Authorization to work in the U.S.
  • Eligibility for any required authorizations from the US government, to conform with US export regulations and ITAR 120.15 and EAR Part 772.

Eligibility Requirements:

This role is restricted to U.S. persons (i.e., U.S. citizens, permanent residents, and other protected individuals under the Immigration and Naturalization Act, 8 U.S.C. 1324b(a)(3)) due to access to export-controlled technology. Whippany Actuation Systems will require proof of status before employment.

We would really like to see:

  • Knowledge of federal government contracting and federal acquisition regulation (FAR) and agency supplements.
  • Ability to develop and maintain professional and dependable relationships with internal and external clients.
  • Must be able to function in a fast pace, team focused environment.
  • Experience with various contract types, including Fixed-price, Time and Material, Cost Reimbursable, and IDIQs.
  • Familiarity with US Government Contract Administration including FAR and DFAR regulations and TINA requirements.
  • Knowledge of engineering and manufacturing processes.
  • Excellent verbal and written communication skills.
  • Bias for action. Ability to spontaneously recognize problems and opportunities. Ability to drive problem resolution and follow through to completion.
  • Results oriented. Drives to achieve both short- and long-term goals.
  • Customer focused. Driven to meet the needs of both internal and external customers.

Physical Requirements Include:

  • Ability to operate office equipment including computers and determine accuracy of work.
  • Ability to interact and participate in meetings.
  • While performing the duties of this job, the employee is regularly required to remain in a stationary position for a significant period and maneuver around the facility as needed.
  • Manual dexterity, which allows the individual to use hands to type on a keyboard, use a mouse and write are required.
  • Specific vision abilities required by this job include close vision.

Compensation and Benefits:
The pay range for this position at commencement of employment is expected to be between $75,000 to $95,000 per year. Final pay determinations will depend on various factors, including, but not limited to, experience level, knowledge, skills, and abilities. If hired, the employee will be in an “at-will position.”
