ABOUT THE ROLE
We are looking for a Receptionist to be the first point of contact for visitors, clients, and suppliers at our office. You will manage incoming and outgoing communications in person, by phone, and via email, while providing administrative support across a variety of day-to-day office operations.
Key Responsibilities:
Welcome visitors in a friendly, professional, and courteous manner.
Respond to enquiries and direct visitors to the appropriate person or department.
Handle incoming phone calls and relay messages accurately.
Maintain and update visitor records, including contact information
Receive, sort, and distribute incoming mail and packages.
Prepare and coordinate outgoing mail, documents, and shipments.
Assist with the preparation and distribution of internal documents.
Coordinate meeting room bookings and manage meeting schedules when required.
Manage office supplies, including stationery, kitchen supplies, and other workplace essentials.
Coordinate catering services for meetings and company events.
Qualifications:
Vocational qualification or degree in Business Administration or a related field is preferred.
Previous experience in customer service, administration, or reception is considered an asset.
Excellent verbal and written communication skills in Catalan, Spanish, and English; additional languages are a plus.
Proficiency with telephone systems and standard office software (e.g., Microsoft Office or Google Workspace).
