Coordinator, Health, Safety & Environment - Fulltime (On-Site), London ON

About the role:

The Coordinator, Health, Safety & Environment (HSE) supports a large, primarily field-based workforce of 850+ employees delivering Damage Prevention and Energy Services across Ontario and Alberta, with periodic project work throughout other Canadian and U.S. regions. This role plays a critical part in advancing safety performance, ensuring regulatory compliance, and supporting COR® certification across GTel and PVS operations.

Key Responsibilities:

The Coordinator, Health, Safety & Environment (HS&E) is responsible for supporting business success and HS&E team initiatives at GTel and PVS through the following:

Injury Prevention

• Contribute to projects and initiatives that achieve, maintain, or exceed legislative compliance, including: 
  • Workplace Safety (e.g., workplace inspections, driver safety, personal protective equipment, construction site safety, working alone, traffic control, building safety, fire prevention, confined space entry, etc.)
  • Occupational Health (e.g., biological hazards, physical agents, worker ergonomics, hazardous materials management, etc.)
  • Emergency Response (e.g., emergency preparedness, workplace violence & harassment, first aid, incident investigations, etc.)

COR® Accreditation

• Support HS&E team efforts to achieve and maintain COR® certification in Ontario and Alberta
• Organize files, track progress, and prepare evidence documentation in a timely manner (e.g., highlight references and apply labeling for external auditors at IHSA or AASP) to support three annual COR® audits (five COR® audits required every third year)
• Support annual company HSE goals and objectives by arranging and attending meetings, taking notes, generating minutes, and tracking status updates

Employee Disability Claims Management

• Create Return-to-Work plan documents to guide modified work accommodations based on medical documentation and guidance received
• Prepare and submit WCB Employer’s Report of Injury (e.g., WSIB, WCB Alberta) documentation in a timely manner, as guided
• Create customized Functional Abilities Forms for injured/ill employees in advance of medical update appointments
• Create and maintain individual employee claim file records

HS&E Training

• Support company-wide training events and activities by scheduling and communicating requirements through Microsoft Teams or other platforms
• Administer training assignments via Citation Canada, WSPS, IHSA, or other providers, as required to meet company, department, and individual training requirements
• Create and update training bundles (e.g., new hires for specific roles, modified duties support, seasonal refresher training, etc.)
• Lead HS&E training requirements associated with new hire orientation (e.g., develop assignments, provide role-specific Orientation Training Sign-Off documents to supervisors, and communicate login support information)
• Attend new hire orientations to provide incoming staff with information on the HS&E department structure, practices, and related activities
• Conduct training compliance audits for employees returning from absence (e.g., layoff, leave) and assign training as required
• Track and report on employee training compliance
• Solicit, collect, and file Orientation Training Sign-Off documents from supervisors within two weeks of employee start dates

Joint Health and Safety Committees (JHSC)

• Lead compliance requirements in the role of Secretary for four PVS and one GTel Joint Health and Safety Committees, including: 
  • Create, distribute, and post the annual Calendar of Events
  • Maintain JHSC member postings, communicate vacancies, coordinate team voting, and notify staff of selection results
  • Schedule and attend quarterly meetings, recording key details such as attendance, decisions, and status updates
  • Create and distribute meeting agendas at least seven days prior to quarterly meetings
  • Prepare meeting minutes, obtain approvals/signatures, and distribute/post within seven days following meetings
  • Track monthly facility inspections to ensure compliance and communicate results accordingly

Safety Leadership

• Support safety leadership and employee engagement by compiling field team HS&E performance data and force-ranking results
• Determine monthly safety leadership scores for each field team based on established performance criteria
• Identify winning field teams
• Create recognition certificates for members of winning teams

Incident Response

• Support customer and corporate HS&E incident reporting requirements
• Collect and upload monthly HS&E reporting data to support organizational metrics, including the Health and Safety Performance Index
• Capture incident data to generate metrics and support real-time HS&E dashboard reporting
• Develop and provide trend analysis, statistics, and summary information (e.g., workplace injury statistics, leading injury types, etc.)
• Maintain access to WCB online service portals for both companies and leverage reporting as appropriate

Systems Maintenance

• Create, maintain, and deactivate employee profiles within the Citation Canada training system to support new hires, transfers, leaves, returns, and other changes
• Ensure timely response to staff requests for systems support

Compliance Monitoring

• Track completion of legislated and/or critical compliance requirements (e.g., monthly facility inspections)
• Monitor completion against deadlines and report non-compliance concerns in accordance with established procedures
• Escalate non-compliance issues to appropriate levels within the organization

Scope:

Reports To: Direct Reports: Director, HS&E

Qualifications & Experience:

• Post-secondary education in Occupational Health & Safety (minimum 1-year certificate)
• 2–3 years of HSE experience in a field-based, construction, utilities, or industrial environment
• Working knowledge of Ontario and Alberta safety legislation and compliance standards
• Experience supporting COR® programs or safety audits is considered an asset

Success Factors:

• Extensive knowledge of applicable provincial occupational safety and environmental legislation and regulations (e.g., OHSA, Workplace Safety & Insurance Act, etc.)
• Strong computer and systems experience (e.g., vendor management systems, employee training systems, etc.)
• Strong communication skills and the ability to work effectively with all levels of the organization
• Ability to meet deadlines and manage multiple projects simultaneously
• Detail-oriented
• Ability to build trust at all levels of the organization
• Demonstrates sound judgment when advising employees and/or management on health, safety, and environmental matters
• Good understanding of the company’s business

• Internal: Field teams, supervisors, managers across GTel and PVS
• External: WSIB, WCB Alberta, customers, and suppliers
