Our vision is a world committed to ending HIV/AIDS, viral hepatitis, and intersecting epidemics.  

NASTAD represents public health officials in all 50 U.S. states, the District of Columbia, Puerto Rico, the U.S. Virgin Islands, seven local jurisdictions, and the U.S. Pacific Island jurisdictions.  

Job Description

The Associate, Finance & Accounting is an entry-level role responsible for the internal day-to-day financial operations of the organization, with an emphasis on process management. This position acts as a fiscal gatekeeper and exercises utmost attention to detail to ensure sound fiscal health. 

The right candidate should possess: 1) superb detail orientation, 2) a strong work ethic, 3) responsive and collaborative communication skills, and 4) the ability to manage multiple competing priorities in a fast-paced work environment. 

Essential Duties 

  • Provide administrative and project coordination support by scheduling meetings, tracking timelines, monitoring action items, and maintaining project materials. 

  • Maintain accurate financial records and assist with account reconciliations, financial reporting, and audit preparation. 

  • Process accounts payable transactions, including invoices, expense reimbursements, vendor payments, and supporting documentation. 

  • Support the financial administration of grant-funded projects by tracking expenditures, organizing documentation, and maintaining project records. 

  • Assist program staff with financial and administrative activities to help ensure expenses are properly documented and compliant with grant and organizational requirements. 

  • Organize and maintain financial, vendor, and project files while ensuring records are complete, accurate, and readily accessible. 

  • Respond to routine inquiries from staff, vendors, and external partners and provide general administrative support to the Finance team. 

Qualifications

Minimum Qualifications  

  • Skills/Knowledge/Abilities 
  • Very strong organizational skills and excitement about staying organized 
  • Expert-level attention to detail  
  • Tech-savvy, with the ability to learn new software quickly 
  • Project management skills and the ability to “manage up” to ensure tasks are completed timely 
  • Strong communication skills, both oral and written, in order to influence effectively yet kindly 
  • Knowledge of finance and accounting principles, such as GAAP, preferred 
  • Ability to manage multiple priorities and competing deadlines in a fast-paced environment 

Experience/Education  

  • Bachelor's degree in accounting, Business or other related subject; or equivalent experience working in an accounting or project management role;  
  • Or any equivalent combination of training, education, and experience that demonstrates the candidate’s ability to perform the position’s duties.

Additional Information

Full-time, 40 hours/week role. 

Willing to travel as needed, up to 5%. 

Remote work is possible.
