Position Overview
The Contract Administrator is responsible for managing contract compliance and overseeing the billing and accounts receivable process for construction projects. This role ensures that all contracts, billings, and related documentation meet legal, contractual, and company requirements while supporting project teams and maintaining accurate financial records.
Key Responsibilities
Review contracts to identify reporting, insurance, bonding, and legal requirements (including but not limited to bid bonds, liens, DAS 140/141, and other compliance documents).
Ensure contracts conform to legislative requirements and align with company goals and policies.
Prepare and process accounts receivable and billing statements, including progress billings, in coordination with Project Managers.
Verify that all accounts receivable transactions are recorded accurately and allocated to the correct projects and departments.
Monitor and follow up on receivables to support timely collection of payments.
Maintain an organized system of physical and digital contract, billing, and compliance records.
Review contract insurance requirements and request, track, and provide Certificates of Insurance as needed.
Assist with and process pre-liens, certified payroll, prevailing wage documentation, change orders, and related contract accounting items.
Provide excellent customer service to internal teams and external partners, including owners, general contractors, and vendors.
Qualifications
Proven work experience as a Contract Administrator, Accounts Receivable Specialist, or similar role within the construction industry.
Minimum of 2 years of experience in contract administration or related contracting/accounting role preferred.
At least 2 years of construction contract accounting experience required.
Experience with pre-liens, certified payroll, prevailing wage, change orders, and Certificates of Insurance.
Familiarity with accounts receivable procedures and construction billing processes.
Excellent verbal and written communication skills.
Strong attention to detail with the ability to identify and correct errors.
Demonstrated ability to manage time effectively, prioritize tasks, and solve problems.
Skills
Self-motivated with a high level of initiative and ownership.
Strong organizational and time management skills.
Proficiency in QuickBooks and Sage 100 (or similar construction accounting software). Familiarity with LPC Tracker, Procore, Textura, GC Pay is a plus.
Intermediate to advanced Excel skills (e.g., formulas, filters, basic reporting).
General computer literacy, including email and document management systems.
Schedule
8-hour shift, flexible schedule.
On-site at Sacramento, CA 95827.
Ability to reliably commute to the work location is required.
