Full-Time Transportation Coordinator

Department:Transportation

Position: Coordinator

Reports To: Director, Transportation

Salary: $35,000 - $40,000 Yearly Non- Exempt

Position Summary

The Transportation Coordinator plays a vital role in ensuring safe, reliable, and efficient transportation services for individuals served by The League for People with Disabilities. This position is responsible for coordinating daily transportation operations, scheduling routes, supporting drivers, maintaining transportation records, and ensuring compliance with organizational policies and regulatory requirements. The Transportation Coordinator serves as a key communication link between participants, families, drivers, program staff, and leadership to ensure exceptional transportation services that support participant independence, access, and quality of life.

Essential Duties and Responsibilities

Transportation Operations & Scheduling

  • Coordinate daily transportation schedules, routes, and vehicle assignments to ensure timely and efficient service delivery.
  • Monitor transportation activities and adjust schedules as needed to accommodate participant needs, program changes, weather conditions, or emergencies.
  • Maintain accurate transportation records, schedules, and participant transportation information.
  • Collaborate with program departments to ensure transportation services align with participant attendance and program requirements.
  • Assist with route planning and optimization to maximize efficiency and service quality.

Driver Support & Communication

  • Serve as the primary point of contact for drivers regarding route changes, participant updates, and operational concerns.
  • Communicate effectively with participants, families, caregivers, and staff regarding transportation schedules and service updates.
  • Support the recruitment, onboarding, and training of transportation staff.
  • Assist with driver scheduling, coverage, and substitute driver coordination.
  • Promote a positive, professional, and customer-focused transportation environment.

Compliance & Safety

  • Ensure compliance with federal, state, local, and organizational transportation regulations and requirements.
  • Monitor driver credentials, certifications, training requirements, and documentation.
  • Maintain records related to vehicle inspections, maintenance schedules, incident reports, and safety compliance.
  • Support accident investigations and documentation when necessary.
  • Promote and uphold a culture of safety for participants, staff, and the community.

Fleet Coordination

  • Coordinate routine vehicle maintenance, repairs, inspections, and service appointments.
  • Track vehicle usage, mileage, fuel consumption, and maintenance records.
  • Assist in monitoring fleet condition and recommending vehicle repairs or replacements.
  • Ensure vehicles are properly equipped, clean, and ready for daily operation.

Administrative Responsibilities

  • Prepare reports related to transportation services, attendance, incidents, and operational metrics.
  • Maintain confidential participant and employee information in accordance with organizational policies.
  • Assist with departmental budgeting, purchasing, and inventory management as assigned.
  • Participate in departmental meetings, quality improvement initiatives, and organizational events.
  • Perform other duties as assigned to support transportation operations and organizational goals.

Qualifications

Education & Experience

  • Associate degree in Transportation Management, Business Administration, Human Services, Logistics, or a related field preferred.
  • High School Diploma or GED required.
  • Minimum of two (2) years of experience in transportation coordination, logistics, scheduling, dispatching, or related operations.
  • Experience working with individuals with disabilities or within human services organizations preferred.

Knowledge, Skills, & Abilities

  • Strong organizational, scheduling, and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Knowledge of transportation safety practices and regulatory requirements.
  • Proficiency with Microsoft Office Suite and scheduling/database software.
  • Strong problem-solving and decision-making abilities.
  • Ability to maintain confidentiality and professional boundaries.
  • Commitment to providing high-quality customer service and participant-centered support.

Physical Requirements

  • Ability to sit, stand, walk, bend, and perform routine office activities.
  • Ability to travel between program locations and transportation sites as needed.
  • Ability to occasionally lift up to 25 pounds.
  • Ability to respond to transportation emergencies and operational needs.

Work Environment

  • Combination of office, transportation, and community-based environments.
  • May require occasional early morning, evening, or weekend hours to support transportation operations.
  • Frequent interaction with participants, families, drivers, vendors, and staff.
